About The Role
We are seeking an energetic and versatile professional to join our Atlanta office as an Executive Assistant/Office Manager. This role is ideal for someone who thrives in a dynamic environment, enjoys multitasking, and can work independently with minimal supervision. The successful candidate will be well-organized, flexible, and adept at managing a variety of administrative and executive support tasks. This position is crucial in providing exceptional customer service and top-notch administrative support to both internal and external clients, while managing all aspects of the office experience.
Your Day to DayExecutive Assistance for Senior Leaders:
- Manage demanding calendars, schedule and confirm conference calls, appointments, and meetings.
- Proactively resolve scheduling conflicts promptly.
- Coordinate extensive domestic and international travel.
- Liaise with project teams to coordinate meeting logistics, including catering, supplies, setup, and document production.
- Provide specialized support to assigned partners, including planning and executing meetings/conferences, preparing and disseminating materials, managing meeting agendas, and coordinating internal projects.
- Take notes, capture action items, edit documents, coordinate production, proofread, and ensure adherence to format.
- Prepare and submit accurate expense reports and timesheets.
- Manage contacts and CRM activities in Outlook, the company contact database, and CRM tools.
Office Management:
- Oversee all aspects of the office experience, including reception, facilities, office equipment, and supplies.
- Coordinate regular office social and cultural activities.
- Manage meeting rooms and logistics (catering, setup/cleanup, document production).
- Onboard and orient new hires.
- Liaise with vendors (travel, copier, cleaning, alarm, messenger, postal, etc.).
What You Bring
- Undergraduate degree with 2+ years of administrative experience in consulting, creative services, or hospitality, OR 4+ years of administrative experience.
- Ability to thrive in a fast-paced working culture; proactive and adaptable.
- Excellent communication and interpersonal skills to interact with all levels of people.
- Strong problem-solving skills with the ability to find creative solutions and make decisions.
- Exceptional organizational and time management skills.
- Proficient in scheduling and calendar management.
- Comfortable with ambiguity and able to adapt, flex, and change directions as needed.
- Fluent in Microsoft Office; tech-savvy.
- Must be able to lift 30-50 lbs.
Salary Range: $65,000 - $75,000 commensurate with experience
