About the Role

Drug Hunter is a B2B subscription knowledge base for biotech and pharma R&D scientists that

empowers them to discover the medicines of the future. We serve most of the world’s top

biotech and pharma companies, including Dow 30 and S&P 500 organizations.

We are seeking an Executive Assistant who will serve as a trusted partner and operational

force-multiplier to our founder and leadership team. This role combines classic executive

support with elements of strategic coordination—ensuring the CEO and leadership team’s time,

communications, and projects are aligned with Drug Hunter’s rapid global expansion. The ideal

candidate is exceptionally organized, proactive, and comfortable handling a mix of high-level

strategic initiatives and hands-on execution in a fast-paced, mission-driven environment.

Location: Hybrid position based in the Greater Boston area. Domestic and international travel

may be required (typically 20%).


Requirements

Key Responsibilities:

C-Level Executive Support 

  • Manage the CEO’s calendar, international travel, administrative tasks, and priorities to maximize efficiency and ensure focus on high-impact activities. 
  • Support additional executive team members as needed.

Information Management 

  • Review inbound communications, prepare briefing materials, meeting agendas, and track follow-up actions; ensure the CEO has the right informationat the right time.

Communication & Representation 

  • Draft, review, and sometimes deliver communication on behalf of the CEO to internal teams, board members, investors, and external partners, with a high degree of professionalism.

Project & Initiative Support 

  • Manage and track progress on strategic initiatives,cross-functional projects, and board-related deliverables; follow up with stakeholders to drive execution.

Meeting & Event Leadership

  • Coordinate internal and external meetings, board meetings, executive offsites, team offsites, and special events with precision.

Operational Leverage & Improvements 

  • Anticipate needs, resolve issues proactively, and streamline workflows so the executives can focus on strategic leadership. 
  • Spot bottlenecks and inefficiencies in company workflows and operations; propose and implement process improvements.

Confidential Advisory Support

  • Act as a thought partner to leadership, exercising sound judgment and maintaining strict confidentiality.

Special Projects

  • Take ownership of diverse ad hoc initiatives as needed to maximize executive leadership’s effectiveness.

Qualifications:

Experience 

  • 5–8+ years supporting senior executives (CEO/Founder preferred) in a fast-paced, high-growth environment

Organizational Excellence

  • Exceptional time management, prioritization, and multitasking abilities.

Communication Skills

  • Outstanding written and verbal communication; able to convey professionalism and clarity on behalf of the CEO.

Tech Savvy

  • Proficient with productivity tools and automations (Google Workspace, Microsoft Office, Slack, project management platforms, Superhuman, LLMs).
  • Comfortable adopting new tools quickly.

  • Trusted to handle confidential information and represent the CEO with maturity and professionalism.

Additional Responsibilities

This role will involve cross coverage for the Marketing team for an employee’s temporary leave of absence.

Digital Programs & Event Operations

  • Lead the planning and execution of webinars, virtual events, and digital programs that support customer engagement, thought leadership, and business growth. 
  • Coordinate platform setup, speaker logistics, attendee communications, registration management, and post-event follow-up to ensure a seamless experience.

Content & Knowledge Management

  • Support the organization, publication, and maintenance of educational content, event recordings, assessments, and related program materials. 
  • Partner with product and technical teams to ensure content is accurately managed and accessible across platforms.

Cross-Functional Program Coordination

  • Serve as a central point of coordination across leadership, marketing, product, and operations teams to drive execution of strategic initiatives, digital programs, and company-wide projects. 
  • Track deliverables, manage timelines, and ensure stakeholders remain aligned.

Brand Visibility & Audience Engagement

  • Coordinate promotional efforts for events, product launches, and company initiatives across email, social media, and other communication channels. 
  • Execute content calendars and campaigns with a focus on consistency, quality, and organizational priorities.

Event Strategy & Execution

  • Support the planning and execution of executive meetings, customer events, industry conferences, team gatherings, and networking opportunities. 
  • Manage logistics including vendor relationships, attendee communications, registration processes, and on-site operations.

Operational Planning & Budget Management

  • Assist with event budgeting, vendor management, and resource allocation to ensure efficient execution and alignment with organizational goals. 
  • Identify opportunities to improve processes, reduce friction, and enhance operational effectiveness.
Additional Qualifications

Program & Event Management
Experience coordinating complex virtual and in-person events, managing multiple stakeholders, and delivering high-quality experiences with strong attention to detail.

Project Management Skills

Demonstrated ability to manage multiple concurrent projects, track deadlines, and drive initiatives to completion in a fast-paced environment.

Marketing & Communications Aptitude

Familiarity with digital marketing channels, content management, email communications, and social media platforms. Able to execute communications with professionalism and consistency.

Technical Fluency

Comfortable working across digital platforms, event technologies, content management systems, and modern productivity tools. Quick to learn and adopt new technologies.

Operational Mindset

Strong process orientation with the ability to identify inefficiencies, improve workflows, and create scalable systems that support organizational growth.
