We are seeking a highly organized and proactive Executive Assistant to support our senior leadership team. This role is focused on executive calendar management, email coordination, communication relaying, and operational support for C-suite executives.
This is a hybrid position based in Toronto, ON. The role involves a mix of remote work and in-office presence, with in-person attendance required on a recurring basis to support executive coordination, meetings, and team alignment.
You will serve as a key coordination point for leadership, ensuring executives remain organized, informed, and focused on high-priority initiatives.
Key Responsibilities Executive Support- Manage complex executive calendars, including scheduling, prioritization, and conflict resolution
- Monitor, organize, and draft responses for executive email inboxes
- Coordinate meetings, agendas, and follow-ups with internal and external stakeholders
- Relay messages clearly and accurately between executives and teams
- Prepare briefing notes, summaries, and documents for meetings and decisions
- Support travel planning and logistics when required
- Track action items from executive discussions and ensure timely follow-through
- Liaise with internal teams to support alignment on priorities and deadlines
- Maintain confidentiality when handling sensitive information
- Assist with documentation and reporting for leadership visibility
- Coordinate across operations, product, and business teams on executive requests
- Support preparation of presentations and internal updates
- Help ensure consistent communication flow across departments
- Minimum 3+ years of experience as an Executive Assistant, preferably supporting C-suite executives
- Strong calendar and inbox management skills in fast-paced environments
- Proficiency with Google Workspace, Microsoft Office, and Slack
- Excellent written communication and professional tone in correspondence
- High level of discretion and ability to handle confidential information
- Strong organizational and multitasking abilities
- Quick learner with new tools and systems
- Calm, proactive, and solution-oriented under pressure
- Job Type: Full-Time
- Pay: $45,000.00-$70,000.00 a year
- Flexible language requirement: Fluency in French is an asset
- Schedule: 8 hour shift, Monday to Friday, Overtime
