Position Summary


We are looking for an Executive Assistant to join our team in Uberlândia. This person will support C-level executives, ensuring that schedules, communications, and workflows are well-structured and running efficiently.

This role is central to maintaining executive productivity, acting as a coordination point for agendas, internal communication, and logistical needs, while also supporting internal initiatives and office-related activities when needed.

This position requires full-time on-site availability, Monday to Friday, from 9:00 AM to 6:00 PM (Brasília Time – BRT).

Key Responsibilities

Executive Support

  • Manage professional and personal calendars for executive leadership, including meetings, emails, calls, corporate travel, and stakeholder interactions
  • Coordinate schedules and information flow for senior leadership
  • Support meetings by preparing agendas, gathering information, and organizing logistics
  • Assist in managing emails and communications on behalf of C-level executives
  • Prepare presentations, reports, and executive communications
  • Maintain professionalism and confidentiality when handling sensitive information
  • Support strategic topics requiring direct executive attention

Travel & Logistics

  • Coordinate executive and employee travel, ensuring alignment with company policies and budget
  • Manage reservations, itineraries, and all travel-related logistics

Marketing & Communication

  • Support internal marketing initiatives, including communication of corporate actions and events
  • Create and share internal communications related to celebrations, birthdays, and institutional initiatives
  • Assist in producing simple internal communication content such as invitations, announcements, and messages
  • Help organize internal initiatives, including occasional logistical support such as purchasing items or coordinating with vendors


Requirements

  • English level B2+
  • Availability to work 100% on-site in Uberlândia
  • Experience in administrative, office coordination, or similar roles
  • Experience supporting leadership with scheduling and coordination
  • High level of discretion when handling confidential information
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks
  • Strong verbal and written communication skills
  • Proficiency in Microsoft Office, especially Outlook, PowerPoint, and Excel
  • Experience with AI platforms such as ChatGPT, Gemini, Claude, or Grok

Nice to Have

  • Experience in Telecom, Technology, or fast-growing startup environments
  • Experience organizing corporate travel
  • Experience in fast-paced, high-demand executive environments
  • Fluency in Spanish
