The Role

Swarm Aero is redefining air power by building the largest swarming UAV network and the most versatile swarming aircraft ecosystem in the world. We are moving quickly to launch the first aircraft designed specifically for swarming, alongside a powerful Command and Control platform capable of mobilizing thousands of heterogeneous autonomous assets and enabling human operators to achieve superhuman results.

Our team has created and exited multiple startups, negotiated defense deals worth billions of dollars, and designed and built more than 30 novel aircraft. Our aerospace pedigree includes experience from Scaled Composites, Airbus, Archer Aviation, Blue Origin, and Boom Supersonic.

The Role

The Executive Assistant will report to the Operations Manager and directly support our three founders. This individual will serve as a force multiplier for the leadership team, ensuring focus, organization, and operational continuity.

This role requires exceptional judgment, discretion, and execution. The ideal candidate thrives in ambiguity, anticipates needs before they arise, and takes pride in creating structure in high-growth environments

 
Key Responsibilities

Executive Support

  • Manage complex calendars across multiple executives
  • Coordinate internal and external meetings, including defense and strategic partners
  • Arrange domestic and international travel with detailed itineraries
  • Prepare agendas, materials, and briefing documents
  • Track follow-ups and action items across leadership meetings
  • Handle confidential information with discretion and professionalism

Strategic Leverage

  • Improve workflows that increase executive efficiency
  • Create systems for task tracking and visibility
  • Anticipate bottlenecks and proactively solve problems
  • Act as a connector across teams to ensure alignment
Qualifications
  • 5+ years of experience supporting senior executives, ideally in startup, aerospace, defense, or high-growth environments
  • Exceptional organizational and time management skills
  • Strong written and verbal communication
  • High discretion and emotional intelligence
  • Comfortable working in fast-paced and ambiguous environments
  • Highly proactive and detail-oriented
  • Hybrid -- onsite presence expected several days per week at our Oxnard, CA office based on executive scheduling needs

Preferred:

  • Experience supporting multiple executives simultaneously
  • Experience in defense, aerospace, or hardware startups
  • Experience helping build processes from scratch

Why This Role Matters

This is not a traditional administrative role. This position directly enables the speed, clarity, and output of the company's founders and Operations leadership. The right person will meaningfully influence how fast Swarm Aero scales.

Compensation & Location

Salary: $100,000–$130,000 base + Series A Equity

Location: Oxnard, CA
