EXECUTIVE ASSISTANT RESPONSIBILITIES


We are looking for an Executive Assistant to provide strategic, secretarial, and logistical support to assigned members of our senior leadership team. You will provide high-level coordination and support directly to your leaders including facilitation of prompt, courteous and effective communication channels with stakeholders, and to also serve as a conduit between the leaders and Amdaris’ wider organisation.


An Executive Assistant manages every aspect of their leaders day whilst exercising confidentiality, tact, and diplomacy. They also ensure the smooth and effective management of the leadership support function, allowing the leaders to focus on the more strategic and pertinent aspects of their roles.


Key Responsibilities:


· Proactively manage complex diaries, inboxes, and competing priorities to optimise senior leader effectiveness.

· Act as a trusted gatekeeper and primary point of contact, managing stakeholder relationships and communications with professionalism and discretion.

· Screen, prioritise, and respond to correspondence, calls, and enquiries, drafting communications on behalf of senior leaders when required.

· Coordinate senior leader meetings, including agenda preparation, logistics, minute taking, and tracking delivery of actions and outcomes.

· Plan and deliver internal and external events, managing vendors, logistics, and participant engagement.

· Drive team collaboration and best practice by facilitating engagement sessions, knowledge sharing, and effective communication across teams.

· Lead and support cross-functional projects and special initiatives, providing progress updates and identifying risks to delivery.

· Manage complex travel arrangements and oversee expense processing, invoices, and payment tracking in line with company policy.


EXECUTIVE ASSISTANT REQUIREMENTS


· Previous experience working within a PA/EA capacity for members of the SLT.

· Fully conversant with Microsoft Office suite (Teams, Outlook, Excel, and Word)

· Ability to manage multiple and rapidly changing priorities to meet the needs and expectations of senior leader members and executives.

· Experience of complex diary management, inbox management, and managing complex travel arrangements on behalf of someone.

· Excellent communication skills and ability to provide information and service to a wide range of internal and external contacts.

· Ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail.

· Demonstrates personal integrity, credibility, and flexibility within the scope of position responsibilities.
