The Role

We are seeking an experienced, detail-oriented, and highly proactive Executive Assistant to provide senior-level support to three firmwide global executives. This role requires sound judgment, discretion, operational rigor, and the ability to anticipate needs in a fast-paced, global environment.  Experience supporting numerous executives is a requirement.  Experience in financial services is a plus.


Responsibilities 

  • Own and strategically manage complex, constantly evolving executive calendars; prioritize competing demands and coordinate all meeting logistics including preparation of materials and briefing documents.
  • Organize team events, socials, and offsite meetings.
  • Manage all domestic and international travel arrangements, including detailed itineraries, logistics, and real-time adjustments.
  • Handle sensitive and confidential information with the utmost discretion.
  • Draft and prepare high-level correspondence, presentations, reports, and internal communications on behalf of executives.
  • Review and quality-control materials to ensure accuracy, clarity, and professional presentation.
  • Serve as a gatekeeper and liaison; prioritize calls and inquiries with professionalism and sound judgment.
  • Partner with executives on strategic initiatives, research projects, and special assignments.
  • Compile and synthesize reports and information for leadership review.
  • Provide backup support to other administrative staff as needed.

  • Demonstrated success supporting multiple senior executives in a dynamic, high-performance environment.
  • Desire to thrive in a fast-paced, entrepreneurial environment.
  • Highly self-motivated and solution-oriented, with the ability to operate independently and manage multiple priorities under tight deadlines.
  • Sound judgment and critical thinking skills, with the ability to anticipate issues and proactively resolve them.
  • High attention to detail is an absolute must.
  • Outstanding ability to learn new skills quickly.
  • Ability to conduct research utilizing various resources.
  • Strong ownership mindset with impeccable work ethic and discretion.
  • Excellent organizational skills.
  • Proficient in Microsoft Office Suite, with emphasis on Excel, Word, Outlook, and PowerPoint.
  • Superior communication and interpersonal skills (written and spoken), with the ability to engage effectively across all levels internally and externally
