About the Role:
As an Executive Assistant, you will provide essential calendar and email management, as well as administrative support, to our VP of Operations. You will also work closely with our Administrative, Finance, and HR teams to ensure the success of both long-term projects and day-to-day operations. This position requires excellent communication skills, strong attention to detail, and a team-oriented mindset. The right candidate will have proven ability to analyze information, display sound judgment, and maintain confidentiality.
Your Impact:
- Monitoring the VP’s email accounts, including prioritizing items, drafting correspondence, and ensuring follow-up
- Managing the VPs busy calendar, including coordinating meetings and appointments
- Providing daily briefings to ensure the VP is aware of upcoming commitments and deadlines
- Coordinating travel logistics and activities
- Supporting the VP by planning and executing special projects
- Performing personal assistant-type tasks, as requested
- Participating in cross-departmental projects, providing support to the administrative and finance teams, as needed
- Research-based projects
- Production of presentations and graphics
- Meeting monitoring and note-taking

Who You Are:
- Possesses a Bachelor’s degree
- Has a minimum of three years of experience providing support at the executive level
- Excellent communication skills
- A strong knack for solving complex puzzles
- Strong organizational and time management skills
- Ability to handle sensitive information with discretion
- Proactive self-starter, no task is too big or too smallEager to learn and innovate, contributing at a high-performing level
- Performs well under pressure with a sense of urgency
- Highly capable with technology
- A Microsoft Excel wizard
Bonus Skills:
- Payroll and benefits administration
- ADP or Paychex experience
- Quickbooks experience
- Bookkeeping or accounting experience
- Any HR certifications
- Notary Public
