Role Summary
We are looking for an Executive Assistant to support our executive team in Buenos Aires, Argentina. This person will be responsible for managing executive agendas, communications, and logistics, while also ensuring the office environment runs smoothly on a daily basis.
The role requires strong organization, ownership, and the ability to handle both executive coordination and day-to-day office needs with autonomy.
Core Responsibilities
- Manage executive calendars, including scheduling meetings, prioritizing agendas, and handling conflicts.
- Coordinate travel arrangements, including flights, hotels, and logistics.
- Act as a liaison between executives and internal/external stakeholders, ensuring clear communication and follow-ups.
- Support preparation of meetings, including materials, agendas, and logistics.
- Act as the primary point of contact for the office, ensuring smooth daily operations.
- Oversee the organization and upkeep of the office environment, including shared spaces and meeting rooms.
- Monitor and manage office supplies, pantry items, and inventory, ensuring adequate stock levels.
- Handle purchasing of office supplies, groceries, and operational materials when needed.
- Support tracking of basic office-related expenses and recurring needs.
- Coordinate with cleaning staff and service providers, ensuring the office is consistently clean and organized.
- Manage vendor interactions, deliveries, and maintenance requests.
- Organize internal logistics such as lunches, small events, and office routines.
- Provide general administrative support when necessary, including document handling and internal coordination.
Requirements
- English level B2+
- Availability to work 100% on-site in Buenos Aires
- Experience in administrative, office coordination, or similar roles
- Experience supporting leadership with scheduling and coordination
- High level of discretion when handling confidential information
- Strong organizational skills, attention to detail, and ability to manage multiple tasks
- Strong verbal and written communication skills
- Proficiency in Microsoft Office, especially Outlook, PowerPoint, and Excel
- Experience with AI platforms such as ChatGPT, Gemini, Claude, or Grok
