Key Responsibilities
- Diary management, and ocasional email management for the Head of the Energy team, organisation of travel, process expenses and enter time entries on different projects .
- Coordination of internal and external meetings including welcoming of guests and clients coming to office.
- Occasional support to the recruitment team when required.
- Administrative support with the onboarding process of new joiners in the team.
- Support with vendor invoices, ensuring prompt submission and payment.
- Support our billing monthly process for the energy team: Provide case budget updates, open new case matters and help with client invoices.
- Maintaining clients contacts database via a CRM database – Salesforce.
- Help the Energy team with responses to tenders regarding administrative documents.
- Liaising with internal support teams (HR, marketing, IT) as needed.
- Covering holidays and coordinating with the other admin members in the Paris office.
- A range of ad hoc administrative tasks – e.g. post, printing and binding, and archiving as required.
Qualifications and Experience
- This is a Senior Role, which requires a minimum of 5 years’ experience in a similar position.
- Experience with client interactions and understanding of client relationships.
- Experience working in an international & multicultural environment.
- PA/Secretarial qualifications.
