Role OverviewThe Executive Assistant (EA) is a high-trust partner to the CEO and executive leadership team, responsible for maximizing executive effectiveness through exceptional organization, communication, and proactive planning. This role manages time, information flow, and logistics in a fast-paced environment where priorities shift quickly and execution standards are high.
You will do more than manage schedules. You will create leverage by protecting the calendar, making priorities visible, ensuring follow-through, and helping the CEO and leadership team stay prepared, aligned, and operating with consistency. This role reports directly to the CEO and may support additional executives as the company scales.
Key Responsibilities1) Executive Support and Priority Management- Manage complex calendars, scheduling, and logistics across internal leaders, external partners, and stakeholders across time zones.
- Protect executive focus by triaging requests, reinforcing priorities, and reducing unnecessary meetings.
- Prepare executives for meetings with agendas, key context, pre-reads, and clear decision objectives.
- Track follow-ups and action items to ensure commitments are completed and priorities move forward.
- Serve as a primary point of contact and gatekeeper for executive communications.
- Draft, review, and organize emails, documents, and presentations with strong quality, accuracy, and speed.
- Maintain reliable systems for inbox management, approvals, and time-sensitive responses.
- Ensure fast turnaround on important communications and escalate issues appropriately when needed.
- Coordinate domestic and international travel, itineraries, and expense tracking.
- Support board meetings, offsites, and executive events, including scheduling, prep, materials, and follow-through.
- Maintain organized documentation for executive materials, notes, decisions, and records.
- Handle sensitive matters with discretion, professionalism, and calm under pressure.
- Build repeatable systems that improve executive and leadership team efficiency, including cadences, templates, trackers, and briefing formats.
- Create structure for how leadership operates, including weekly rhythms, planning cycles, and decision documentation.
- Identify friction points and recommend improvements that reduce churn and increase throughput.
- Support special projects and high-priority requests with clear ownership, status tracking, and timely updates.
- Use AI tools thoughtfully to improve productivity, streamline documentation, organize information, and enhance execution quality.
- Represent leadership with professionalism, warmth, sound judgment, and discretion.
- Build trust quickly across teams by being dependable, organized, and solution-oriented.
- Set a high standard for responsiveness, clarity, and operational excellence.
- 4 to 8+ years of experience supporting senior executives in fast-paced environments.
- Exceptional organization, time management, and ability to manage multiple competing priorities.
- Strong written and verbal communication skills with professional polish and attention to detail.
- High discretion, judgment, reliability, and comfort handling sensitive and confidential information.
- Ability to operate in ambiguity, anticipate needs, and adapt quickly to shifting priorities.
- Comfort using AI tools and willingness to learn emerging AI workflows to improve productivity, efficiency, and execution in a responsible and practical way.
- Experience in startups or high-growth technology environments.
- Experience supporting founders or C-level executives directly.
- Strong familiarity with productivity and collaboration tools, including calendar systems, document platforms, task trackers, and video conferencing tools.
- Familiarity with tools and systems such as Slack, Google Workspace, ChatGPT, ClickUp, Hubstaff, and other role-relevant platforms.
- Take on a high-trust role with direct exposure to leadership decisions and company priorities.
- Help shape how the CEO and executive team operate as the company scales.
