The Executive Assistant provides high-level administrative and operational support to senior executives. This role is responsible for managing schedules, coordinating communications, organizing meetings, handling confidential information, and ensuring the efficient day-to-day operation of the executive office. The ideal candidate is highly organized, proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
Requirements
Key Responsibilities:
- Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Manage executive email inbox(s), including filtering, prioritizing, drafting responses, and flagging urgent matters
- Prioritize and coordinate daily activities to maximize executive productivity.
- Prepare agendas, presentations, reports, and briefing materials for meetings and events.
- Screen and manage incoming communications, including emails, phone calls, and correspondence.
- Draft, proofread, and distribute professional communications on behalf of executives.
- Organize internal and external meetings, including logistics, venue arrangements, and technology requirements.
- Record meeting minutes, track action items, and follow up on deliverables.
- Coordinate executive participation in conferences, board meetings, and company events.
- Maintain organized records, files, and documentation.
- Assist with special projects and strategic initiatives as needed.
- Serve as a primary point of contact between executives and internal or external stakeholders.
- Build positive relationships with clients, partners, vendors, and employees.
- Handle sensitive and confidential information with discretion and professionalism.

Skills Required
