Requirements

Key Responsibilities:

  • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Manage executive email inbox(s), including filtering, prioritizing, drafting responses, and flagging urgent matters
  • Prioritize and coordinate daily activities to maximize executive productivity.
  • Prepare agendas, presentations, reports, and briefing materials for meetings and events.
  • Screen and manage incoming communications, including emails, phone calls, and correspondence.
  • Draft, proofread, and distribute professional communications on behalf of executives.
  • Organize internal and external meetings, including logistics, venue arrangements, and technology requirements.
  • Record meeting minutes, track action items, and follow up on deliverables.
  • Coordinate executive participation in conferences, board meetings, and company events.
  • Maintain organized records, files, and documentation.
  • Assist with special projects and strategic initiatives as needed.
  • Serve as a primary point of contact between executives and internal or external stakeholders.
  • Build positive relationships with clients, partners, vendors, and employees.
  • Handle sensitive and confidential information with discretion and professionalism.

Skills Required

  • Proven experience as an executive assistant or administrative assistant
  • Strong proficiency in Microsoft Office Suite and Google Workspace
  • Exceptional organizational skills
  • Excellent verbal and written communication skills
  • Experience with project management software is a plus
