As an Administrative Assistant, you will play a crucial role in supporting our administrative functions and contributing to the overall efficiency of our organization. This role provides an excellent opportunity to gain hands-on experience in various administrative tasks, develop organizational skills, and work in a professional environment. This position is ideal for an intern/recent graduate.
You will:

  • Administrative Support:
    • Assist with day-to-day administrative tasks, including email management, taking notes during meetings, and handling general inquiries.
    • Maintain an organized digital filing system for important documents, reports, and presentations.
    • Draft and edit correspondence, emails, and other documents as needed.
  • Scheduling, Coordination, and Travel:
    • Manage and coordinate the executive's calendar, scheduling appointments, meetings, and events.
    • Organize logistics for meetings (virtual and in-person), including preparing agendas, coordinating technology setups, and managing follow-up actions.
    • Book and coordinate all aspects of travel (flights, transportation, accommodations, meals, etc.).
  • Data Management:
    • Input and update data in various systems and databases.
    • Ensure accurate and organized record-keeping of important documents, client files, and internal reports.
  • Communication:
    • Assist in drafting internal and external communications, ensuring clarity, professionalism, and accuracy.
    • Take minutes and notes during meetings, preparing official documents, distributing minutes, and following up on action items.
  • Project Assistance:
    • Provide administrative assistance and coordination for ongoing projects.
    • Conduct research and assist in gathering data to support various initiatives.
  • Other Duties:
    • Provide support for any additional administrative tasks as needed to ensure smooth day-to-day operations.

You have:
  • Currently enrolled in a relevant degree program (Business Administration, Office Management, etc.) or recent graduate.
  • Strong organizational and time-management skills.
  • Excellent communication skills, both written and verbal in English and Spanish.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Detail-oriented and able to multitask in a fast-paced environment.
  • Professional demeanor and the ability to handle confidential information with discretion.
