Are you an organised and proactive individual with a flair for providing exceptional administrative support? At HEOR, we are on the lookout for a dedicated Executive Assistant to join our team based from the newly refurbished office in Cardiff.

Your day-to-day will be anything but mundane! You will be responsible for providing high level administrative support to the Chief Executive Officer and senior executives including managing busy schedules, coordinating meetings, and handling confidential information with discretion. You will be a key liaison between the executive team and internal/external stakeholders, whether it's arranging travel plans, preparing for important presentations or taking notes during meetings, your contribution will be invaluable to the overall efficiency and success of HEOR.

Key Responsibilities:

  • Diary management including scheduling and coordinating meetings, appointments and travel arrangements
  • Take notes during meetings, prepare and organise agendas, documents and presentations including Board and sub-committee meetings
  • Manage the CEO's inbox, monitor and responding to emails when necessary and prioritising and flagging urgent tasks through to completion
  • Ensure stakeholders are meeting the set deadlines and keep stakeholders accountable to actions
  • Oversee meeting and event coordination for internal and external events, and Board meetings
  • Support the CEO and senior leadership team across multiple projects
  • Assist in project management and the execution of special projects as directed by executives
  • Provide personal support for the CEO when requested
  • Supporting with office related activities in conjunction with other members of the operations team
Requirements

What We're Looking For:

  • Demonstrable experience in an executive assistant role, supporting senior management.
  • Exceptional organisational skills with the ability to prioritise and manage multiple tasks effectively.
  • Strong written and verbal communication skills; you excel in expressing ideas and information clearly.
  • High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
  • An aptitude for learning new software and systems
  • Ability to work autonomously and collaboratively in a fast-paced, dynamic environment.
  • Demonstrated professionalism and integrity when handling sensitive information.
  • A proactive attitude with a keen eye for detail and a solutions-oriented mindset
