Job Description

The Executive Assistant plays a pivotal role in supporting our Chief Executive Officer and members of the Executive Team with a wide range of administrative and support tasks. The ideal candidate will possess exceptional communication skills, high professionalism and confidentiality, and impeccable attention to detail.

The Executive Assistant: 

  • Provides administrative support and assistance to the Chief Executive Officer, Chief Financial Officer, and/or other assigned executive staff.
  • Manages the complex day-to-day schedules of the CEO and CFO’s calendars; assisting with meeting requests and calendar changes while coordinating across multiple time zones. This involves using discretion in identifying critical items and ensuring the executive leaders’ schedules are followed and respected.
  • Handles all travel arrangements for select executives and their visitors, preparing detailed travel itineraries inclusive of flights, hotels, meals, meeting agendas, etc.
  • Handles all expense management for the CEO and other select executives.
  • Coordinates all executive-level visits to corporate headquarters; as well as both on-site and virtual meetings domestically and internationally; including travel, accommodations, meals, printed materials and audio visual needs.
  • Drafts, reviews, and sends communications on behalf of the executive team.
  • Reviews and prioritize emails and necessary communication on behalf of the executive team to ensure timely responses.
  • Performs executive office tasks including maintaining records, managing and ordering supplies, and meeting with vendors. 
  • Nurtures strong partnerships with a broad range of individuals around the business; including other administrative professionals, facilities support, members of the Extended Leadership Team, the accounting team, IT support, and other key internal stakeholders
  • Creates, proofs and/or supports executives to produce reports, spreadsheets and presentations.
  • Support the planning/communication of activities (i.e., company events, local event attendance, WireCo CARES committee, etc.)
  • Support company-wide projects/initiatives (i.e., quarterly awards, website updates, distributing surveys, etc.)
  • Oversees scheduling of the executive conference room; starting and ending virtual meetings as needed. Participates in executive meetings as requested to provide administrative support.
  • Maintains a clear understanding of company structure and operating rhythms.
  • Maintains an accurate and current list of internal and external contacts.
  • Stays up to date on company initiatives and timelines.
  • Answers questions with tact, diplomacy, and accuracy.
  • Completes all other tasks assigned by executive group.

Qualifications

  • Must have a minimum of a high school degree, college degree preferred. 
  • At least four years of related experience required.
  • Experience in an executive office environment working with confidential information required. 
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Demonstrated expertise using Microsoft Office suite, specifically Outlook.
  • Strong technology skills including ability to work within PC, iPhone, and iPad products.
  • Must display a professional appearance, have excellent phone skills, and strong interpersonal skills. 
  • Must be able to work under pressure when needed.

Additional Information

This position is based full-time at our Prairie Village, Kansas headquarters. 

Materials and Equipment Directly Used

  • Standard office equipment including computer, mouse, keyboard, telephone, multifunction copier
  • Must be able to lift up to 40 pounds

Additional Information

  • Flexible working hours (outside of normal business hours) may be required
  • Travel, both domestically and internationally, may be required (expected ~5%)
  • Must be legally authorized to work in the United States without restriction.
  • An applicant must complete a satisfactory background check post-offer of employment. A criminal conviction will not be an automatic bar to employment.
  • Must be willing and able to pass a post-offer drug screen and physical (if required)
