YOUR ROLE AT MIRATERRA

As Executive Assistant, you'll be a trusted partner to our CEO, protecting his focus and extending his reach. You bring strong organizational discipline, sharp judgment and the instinct to own problems fully.. You're as quick to spot a better way of doing things as you are to follow through on them. You're eager to learn how a company grows from the inside and comfortable using AI tools to work smarter.


You'll represent the CEO with credibility, warmth and care in every interaction, internal and external, and handle sensitive information with discretion and integrity.You'll become someone people trust, while embodying our culture and the values that define how we lead. 

WORKING RELATIONSHIPS

You'll report directly to the CEO and work closely with our leadership team, board members, investors, customers and industry partners around the world.

IN THIS ROLE, YOU WILL

  • Stay one step ahead: understand the CEO's priorities and proactively remove barriers to his focus.
  • Serve as the CEO's first point of contact, managing written communications and a fast-changing calendar with care and good judgment.
  • Own problems end to end, from finding solutions through to follow-through.
  • Handle complex travel arrangements, including international travel, with contingency planning built in from the start.
  • Build and improve the systems and processes that support the CEO, including using AI to streamline how information flows, how decisions are tracked and how his time is protected.
  • Support board meeting logistics and preparation, special projects and other external-facing needs.
  • Create an exceptional experience for VIP visitors that reflects our culture.
  • Handle light office and administrative tasks, including incoming mail, supply ordering, and expense reporting for the CEO
  • Be flexible about work outside of standard hours when priorities call for it.
  • Manage ongoing relationships with vendors and service providers (travel, events, office), and coordinate cross-functional projects or events from start to finish.

WE’RE LOOKING FOR

  • 3+ years of experience in an administrative, coordination, operations or client-facing role; startup experience is an asset.
  • Strong organizational skills and attention to detail. You can keep many moving pieces on track.
  • Experience owning high stakes communications: drafting, filtering, and responding with good judgement and discretion. 
  • Experience creating or improving a process or system, with a curious, analytical approach to making things work better.
  • Ability to manage competing priorities, think through implications, and act before being asked.
  • A personable communicator who builds trust at all levels and can adapt their style to different audiences.
  • Proficiency with Google Workspace or Microsoft Office, calendar tools, and collaboration platforms such as Slack.
  • Comfort and curiosity with AI tools for scheduling, planning, research and communication.
