Job Description
This is a highly visible and exciting role supporting two Senior Vice Presidents. You will serve as a critical partner in managing their day-to-day activities, facilitating communication across the organization, and ensuring flawless execution and management of the SVP's complex calendar.
Key Responsibilities:
- Meticulously manage the VP's complex calendar, providing updates on changes, prioritizing appointments, and adapting quickly to schedule and travel changes.
- Act as the primary gatekeeper for the VP’s office, overseeing all incoming and outgoing communications, fielding inquiries, and filtering information.
- Arrange all domestic and international travel, process expense reports, maintain accurate financial records, and provide on-call support outside business hours, especially during travel events.
- Plan and execute internal and external events—including staff meetings, Town Halls, team-building activities, and external events (e.g., fundraisers, appreciation events)—handling all logistics, catering, agendas, and meeting minutes.
- Collaborate cross-functionally with Executive Assistants to other VPs to ensure alignment across the organization.
- Maintain highly organized physical and electronic filing systems for critical documents, reports, and correspondence.
- Provide ad hoc administrative support while maintaining the highest degree of discretion and confidentiality with sensitive information.
Desired Background, Knowledge, & Skills:
- 5+ years of EA or Administrative experience.
- Must be based locally and work on-site in the Boston office 2-3 days per week.
- Excellent written and verbal communication; able to confidently manage stakeholder dialogue and draft correspondence in the VP's voice.
- Advanced proficiency across the entire Google Workspace suite (Gmail, Calendar, Drive, Docs, Sheets, Slides, Forms, Meet, and Chat).
- Highly detail-oriented with strict precision in scheduling, document review, and reporting.
- Proactive problem-solver with strong intuition to anticipate the executive's needs, resolve conflicts, and suggest process improvements.
- Exceptional organizational and time-management skills to optimize workflows and meet strict deadlines.
- Tech-savvy and resourceful; comfortable leveraging AI technology, and project management tools to boost productivity.
- Strong sense of urgency, accountability, and adaptability to rapidly changing priorities (such as travel adjustments).
- Highly receptive to feedback with a strong desire for continuous improvement.
- Nice to have: Experience to support project-based work and strategic initiatives by conducting research, analyzing data, and preparing high-quality reports, presentations, and videos.
Target Base Salary Range: $105,000 USD - $115,000 USD
Consistent with Motorola Solutions values and applicable law, we provide the following information to promote pay transparency and equity. Pay within this range varies and depends on job-related knowledge, skills, and experience. The actual offer will be based on the individual candidate.
Note: Candidate will be in the Waltham, MA office 3 days per week.
