Executive Assistant

Chilliwack, BC | Full-Time
$65,000 – $68,000 dependent on experience

Ruth & Naomi’s Mission is looking for a highly organized, proactive, and trustworthy Executive Assistant to work closely with our Executive Director and support the rhythm of leadership and Board governance across our organization.

This isn’t a role for someone who simply waits for the next task. We’re looking for a true thought partner who anticipates what’s needed, takes ownership, keeps priorities moving, and brings clarity and follow-through to a complex, fast-moving environment.

Because this position works closely with the Executive Director, Board of Directors, and senior leadership, it also carries a significant level of trust and access to confidential information. Strong judgment, discretion, integrity, and professional boundaries are essential.

What You’ll Do

• Proactively manage the Executive Director’s calendar, priorities, scheduling, and follow-up
• Anticipate needs, surface decisions and action items, and help keep key priorities moving forward
• Prepare agendas, briefing materials, reports, presentations, and other leadership documentation
• Coordinate Board meetings, prepare Board packages, attend meetings, and take accurate minutes
• Track Board, leadership, and organizational action items through to completion
• Coordinate organizational projects and leadership initiatives, including timelines and deliverables
• Support communication and information flow between the Executive Director, Board, leadership, and other stakeholders
• Maintain organized and appropriately secured Board and leadership records
• Handle sensitive Board, leadership, employee, and organizational information with exceptional discretion and confidentiality
• Provide administrative and project support to the Executive Director and leadership team

What You’ll Bring

• Experience providing executive-level or senior administrative support
• Experience supporting senior leadership teams or Board processes is strongly preferred
• Experience handling highly confidential and sensitive information in a professional environment
• Strong organization and time-management skills with the ability to manage multiple priorities and shifting demands
• Excellent written communication, document preparation, and attention to detail
• Strong critical thinking and an ability to anticipate needs rather than waiting for direction
• Exceptional discretion, judgment, integrity, and professional boundaries
• Strong sense of ownership and accountability with consistent follow-through
• Ability to confidently navigate a complex organization and communicate professionally across different levels
• Strong proficiency with Microsoft Office and the ability to quickly learn new technology and systems
• Experience within a nonprofit, faith-based, or complex organizational environment is considered an asset

Our Christian Environment

Ruth & Naomi’s Mission is a Christian faith-based organization, and our faith is actively integrated into our organizational culture, leadership, and governance.

Because the Executive Assistant works closely with the Executive Director, Board of Directors, and senior leadership, this role is regularly present for prayer, faith-based conversations, and discussions where Christian principles inform organizational leadership and decision-making.

The successful candidate must be highly comfortable working within and actively supporting this environment and willing to respect and uphold the mission and values of Ruth & Naomi’s Mission.

Compensation & Benefits

$65,000–$68,000 annually dependent on experience
• Employer-paid extended health benefits and wellness spending account following successful completion of probation
• RRSP matching program following successful completion of probation
• Education and training opportunities

Why Join Us?

This is an opportunity to work at the heart of a growing organization and play an important role in helping our Executive Director, Board, and leadership team stay organized, connected, and moving forward.

You’ll have visibility into organization-wide priorities and the opportunity to contribute far beyond traditional administrative support. For someone who naturally sees what needs to happen, values trust and confidentiality, and enjoys bringing organization to a fast-moving environment, this role offers the opportunity to make a meaningful contribution to RAN’s mission.
