Executive Assistant
First things first: location matters for this one
We’re remote, but for this role, you need to live and work in the Eastern Time Zone. Our Founder is based in New York, and this partnership works best when you’re operating in the same part of the world, not simply adjusting your hours from another time zone. We have a slight preference for folks in the NYC area, but Eastern Time is the requirement.
The Role
Our Executive Assistant will partner closely with our Founder to create organization, protect his time, and make sure priorities and commitments actually move forward.
You’ll manage a complex calendar and inbox, coordinate logistics, track commitments, and keep the details that can easily fall through the cracks from doing exactly that. You’ll also learn how our Founder works: what information he needs, how he likes to receive it, and where you can step in to keep things moving.
We’re looking for someone highly organized, resourceful, adaptable, and proactive. You won’t always receive a perfectly mapped-out request, so you should be comfortable figuring out the next steps, asking questions when needed, and following things through to completion.

Where You’ll Make An Impact:
Executive Support
- Keep the Founder’s day-to-day priorities organized and make sure commitments and follow-ups keep moving.
- Manage a complex calendar and inbox, balancing competing priorities, resolving scheduling conflicts, and making sure important communications don’t get missed.
- Track action items, decisions, and deadlines, following up with the right people to close the loop.
- Learn the Founder’s working style so you can anticipate what he needs, surface important information, and handle routine requests independently.
- Accurately capture the Founder’s billable time, including client work that happens both on and off the calendar, such as meetings, deliverables, reviews, and strategy work.
Communication & Coordination
- Prepare agendas, briefing materials, and other documentation so the Founder has the right context at the right time.
- Attend meetings as needed, capture key decisions and action items, and coordinate follow-up.
- Draft and edit executive communications that are clear, concise, and appropriate for the audience.
- Communicate and coordinate with team members, clients, and external partners on behalf of the Founder with warmth and good judgment.
Travel & Logistics
- Coordinate domestic and international travel, including itineraries, accommodations, transportation, reservations, and contingency planning.
- Anticipate logistical needs and make sure the details are handled before they become something the Founder needs to think about.
Team & Special Projects
- Provide administrative and coordination support for team initiatives and special projects, helping turn broad asks into clear next steps, owners, and timelines.
- Serve as a go-to resource for administrative questions across the team.
- Maintain systems and follow up on loose ends so commitments don’t stall.
- Look for simple ways to improve organization and executive workflows as you become more familiar with the business.

What We're Looking For
- Must live and work in the Eastern Time Zone, with a slight preference for candidates based in the NYC area. This is about where you’re based, not simply a willingness to work Eastern Time hours.
- 2+ years of experience supporting a senior executive.
- Experience working in a fast-paced agency, design, technology, or consulting environment.
- A natural organizer who can keep track of multiple priorities, shifting schedules, and small details.
- Strong written and verbal communication skills, with the judgment to tailor messaging to different audiences.
- Discretion when handling highly confidential and sensitive information.
- Comfortable using modern workplace tools such as Gmail, Google Workspace, Slack, ClickUp, and similar productivity platforms.
- A proactive, resourceful mindset with the ability to independently solve problems and find answers before escalating.
- Confidence to prioritize requests and, over time, develop the judgment to protect the founder's time and focus.
