Overview:
The Executive Assistant provides high-level administrative and operational support to members of the C-Level Leadership Team, serving as a trusted partner who helps drive efficiency, organization, and seamless execution of daily business activities. This role requires exceptional judgment, discretion, flexibility, and the ability to manage multiple priorities in a fast-paced, global environment.
What you will do:
- Manage complex executive calendars, including scheduling internal and external meetings across multiple time zones while anticipating and resolving conflicts.
- Coordinate domestic and international travel arrangements, including flights, accommodations, ground transportation, visas, and detailed travel itineraries.
- Prepare, organize, and distribute meeting materials, agendas, presentations, and briefing documents for executive leadership meetings, customer engagements, board meetings, and strategic planning sessions.
- Partner closely with executives to prioritize commitments, optimize time management, and ensure follow-through on key action items.
- Serve as a liaison between executives, employees, customers, partners, and other stakeholders, always maintaining professionalism and confidentiality.
- Support leadership team meetings by coordinating logistics, capturing action items, and tracking deliverables to completion.
- Manage executive expenses and ensure timely submission and reconciliation in accordance with company policies.
- Coordinate special projects and initiatives on behalf of executive leadership, collaborating with cross-functional teams to meet deadlines and business objectives.
- Assist with planning and execution of company events, leadership offsites, town halls, and customer-facing engagements.
- Maintain sensitive and confidential information with the highest level of integrity and discretion.

Required:
- 3-5 years C-Level experience
- Proficient with Microsoft 365 applications, including Outlook, Teams, Word, Excel., PPT.
- Minimal travel when needed for executive meetings
AI Skills/Knowledge:
- Use AI to improve efficiency and streamline administrative workflows
- Ability to leverage AI tools to draft, edit, summarize & refine emails, presentations, meeting notes & executive communications
