Job Description:
The Executive Assistant will support the President of Bessemer Trust, a family office overseeing more than $250 billion in assets for over 3,000 individuals and families of substantial wealth. The Executive Assistant will provide seamless administrative support and serve as a liaison with key internal and external partners, requiring a clear understanding of the firm's priorities and the ability to build effective working relationships across departments and seniority levels.

Primary Responsibilities:
- Manages a complex calendar, with discretion to prioritize and adjust based on criticality and understanding of the business
- Proactively tracks key deliverables, tasks, approvals, and deadlines on behalf of the President, while ensuring the President is well-informed of upcoming meetings, commitments, and responsibilities
- Responds to incoming calls and inquiries with sound judgment, facilitating timely and appropriate communication and access
- Liaises with key stakeholders, including but not limited to, the President’s leadership team, Executive Committee members, and clients
- Partners with Marketing to execute important events including annual Wealth Management conferences and multi-day offsites and onsites
- Coordinates internal and external meetings, including reserving conference rooms, setting up videoconferencing, catering, and making restaurant reservations; supports the preparation, coordination, and distribution of relevant meeting materials
- Manages board logistics and relevant documentation
- Utilizes Salesforce as a primary relationship-management tool to document, track, and maintain client interactions, activity, and information
- Creates and assembles polished PowerPoint presentations as well as draft written communications
- Plans and arranges frequent travel in Concur for air, hotel, and transportation; provides itineraries, agendas, and relevant background information for travel
- Assists with expense reports and invoice processing, or other administrative tasks as needed
- Drives special projects as needed
Qualifications:
- Bachelor's degree strongly preferred
- 10+ years of successful experience, preferably in a client-driven, technology, banking, or financial environment supporting senior executives
- Ability to handle highly confidential, organizational, and personnel-related information with discretion
- Demonstrated ability to prioritize and manage multiple projects concurrently
- Exceptional interpersonal and organizational skills
- Excellent verbal and written communication skills
- Sense of urgency in responsiveness and completion of tasks
- Acute attention to detail and regard for accuracy

The base salary range for this position is $120,000- $145,000 per year. This range reflects the minimum and maximum base salary we reasonably expect to pay for this role. In addition, this position may be eligible to participate in the relevant business unit’s incentive compensation plan, and other compensation programs as applicable. Eligible employees may participate in a 401(k) program with a generous profit-sharing contribution, medical, prescription dental, and vision coverage; life insurance; disability coverage; paid holidays; vacation; and sick time, subject to plan terms and Company policies.
