The Executive Assistant provides high-level administrative, organizational, and operational support to senior executives and leadership teams. This position is responsible for managing schedules, coordinating meetings and travel, preparing documents and reports, handling correspondence, maintaining confidential information, and helping executives manage daily priorities efficiently.

Key Responsibilities
- Provide comprehensive administrative support to executives and senior management.
- Manage executive calendars, appointments, meetings, and schedules.
- Coordinate internal and external meetings, including preparing agendas and meeting materials.
- Schedule conference calls, video meetings, interviews, and business appointments.
- Monitor and manage emails, correspondence, phone calls, and other communications.
- Draft, proofread, format, and distribute emails, letters, presentations, reports, and other documents.
- Prepare meeting agendas, presentations, briefing materials, and executive reports.
- Take meeting notes and distribute action items and follow-up assignments.
- Coordinate business travel arrangements, including flights, hotels, transportation, and itineraries.
- Prepare and submit expense reports and maintain accurate expense records.
- Handle confidential, sensitive, and proprietary information with discretion.
- Serve as a professional point of contact between executives, employees, clients, vendors, and external partners.
- Screen and prioritize incoming calls, emails, requests, and correspondence.
- Track deadlines, projects, commitments, and follow-up items on behalf of executives.
- Conduct research and compile information to assist executives with business decisions.
- Coordinate special projects and executive initiatives.
- Assist with preparing budgets, invoices, presentations, and other administrative materials.
- Organize and maintain electronic and physical files and records.
- Coordinate events, conferences, business functions, and executive meetings.
- Communicate with departments across the organization to ensure timely completion of assignments.
- Anticipate executive needs and proactively address administrative issues before they become problems.
- Perform other administrative and organizational duties as assigned.
Qualifications
Required:
- High school diploma or equivalent.
- Proven administrative, executive assistant, office management, or related experience.
