Position: Executive Assistant

 

We are looking for a highly experienced, energetic, hyper-organized, and motivated Executive Assistant to handle a wide array of administrative tasks to support the work of our Region Presidents. This person must sit in our Brentwood, TN office.

 

Responsibilities
  • Manage the Region Presidents’ calendars proactively, protecting focus time, resolving conflicts, and prioritizing meetings based on business impact
  • Triage and organize email inboxes, flagging time-sensitive items, drafting routine responses, and maintaining a clean filing system
  • Plan and coordinate regional pod tours end to end, including scheduling with pod leaders, building run-of-show agendas, and confirming logistics for the executive and any accompanying guests
  • Coordinate with regional and pod leadership to ensure tours minimize disruption to patient care and clinical schedules
  • Manage travel, ground transportation, and on-site details for field-based events, partnering with other EAs when multiple leaders attend
  • Coordinate with other executive assistants to schedule cross-functional and leadership group meetings across multiple calendars and time zones
  • Own the logistics for recurring meetings, including agendas, pre-reads, invites, and follow-up on action items
  • Coordinate travel and expense reporting, including itineraries and timely submission of reports
  • Serve as a trusted point of contact for internal and external stakeholders, representing the executive with professionalism and discretion
  • Handle confidential and sensitive information (including PHI-adjacent and personnel matters) with strict discretion and in line with HIPAA and company policy
  • Anticipate needs by reviewing upcoming commitments and preparing the Region Presidents with the context and materials they need ahead of time

 

Position Requirements
  • Minimum of eight (8) years of administrative support experience, executive level preferred
  • Bachelor's degree is preferred.
  • Demonstrated time management skills and ability to demonstrate high attention to detail.
  • Confidence to function in a role that requires a high degree of flexibility with the ability to independently interpret policies and solve non-routine, complex issues under minimal supervision.
  • Advanced interpersonal skills
  • Regularly handle confidential information with utmost discretion and confidentiality
  • Ability to be flexible and available as needed throughout the workday.
  • Self-starting, critical problem solver who can switch priorities at a moment’s notice with minimal or no direction.
  • Ability to present a positive and respectful front in all situations.
  • Desire to work in entrepreneurial environment and be committed to our mission.
  • Advanced proficiency in Microsoft Office suite; advanced Outlook, Word, and PowerPoint skills
  • Experience with technologies such as Concur, Teams, video conference systems, and Zoom.

 

Compensation

The base salary range for this role is $80,072 to $104,094 and reflects the range of experience and qualifications we may consider. Final compensation will be determined based on geographic location and job-related factors such as experience, skills, education, certifications, and internal compensation considerations. While a larger range is posted, most offers will typically fall within a narrower band based on these factors.
