Reporting to: Andy Whyte, CEO and Co-Founder of MEDDICC
This is not a traditional EA role.
This role exists to multiply the impact of a high-velocity CEO & Founder. Your mission is simple but demanding: free up Andy’s time so he can focus on being a CEO and Creative Director, while you become his second brain, execution partner, and gatekeeper.
If you love building systems, moving fast, and operating behind the scenes to make big things happen, this role is for you.
- Andy spends 90% of his time on strategy, content, and leadership - not inbox, scheduling, or follow-ups
- Own and architect his Notion workspace - ≥90% of items surfaced on a single dashboard require direct executive attention or decision.
- At least 95% of communications are done asynchronously through Slack and Notion, where action items are clear with little to no clarification and follow-up (i.e. Andy doesn’t need to ask “Where is the file?” or “What is the status of this?”)
- All content is managed through scheduling/time blocking (ex: time to create, filming sessions) and all info needed is prepared (research, scripts, etc), ensuring he has more than enough information to start with.
- All LinkedIn messages are responded to and routed to the right teams if needed
- Create the “Second Brain”
- Own, design, and continuously improve Andy’s Notion workspace
- Turn ideas and directives into actionable projects, tasks, and trackable outcomes
- Maintain a clean, always-updated source of truth for priorities, documents, decisions, and status updates
- Ensure anything Andy sees is decision-ready (no hunting, no guessing)
- Run Content & Media Operations
- Manage the content calendar end-to-end and ensure Andy always has scripts, research, context, and protected time to create
- Act as the bridge between Andy and the Media Team
- Be the Gatekeeper
- Manage Andy’s inbox and LinkedIn DMs - respond and route to the appropriate teams when needed
- Protect Andy’s time, including making “no” decisions on his behalf
- Operate Asynchronously & Proactively
- Operate mainly asynchronously using Slack and Notion
- Send a daily async briefing with what needs review, what’s handled, and today’s priorities, including all context, links, and permissions (using the one-touch rule)
- Tech Stack - extensive knowledge in Notion, G-Suite, Slack, and LinkedIn
- Excellent communication in English that is clear, concise, and confident
- Content or media operations exposure (calendars, scripts, production tracking)
- Executive-level inbox and calendar management
- Strong operational judgment, with exceptional prioritization and organizational ability
- High decision velocity (can quickly process information and make decisions)
- Radical ownership - chase results/outcomes, not ticking a task
- Change resilience - have the ability to be comfortable with ambiguity or rapid reprioritization, emotionally stable in high-pressure periods, and tactical in protecting not only Andy’s time but also his attention.
- You need explicit instructions before execution
- Ambiguity stresses you out
- You prefer reactive tasks over proactive problem-solving
- You prefer robotic repetitive tasks over exciting creative projects
- You expect constant check-ins to build momentum
- Context-switching isn’t your strongest suit
- 4+ years of experience in roles such as an Executive Assistant, Operations Manager, Chief of Staff (or similar execution-heavy role)
- Experience managing social media accounts (ex: LinkedIn) of a CEO, Manager, or Executive
- Bonus points if you’ve worked in B2B SaaS, Sales-led organizations, Media, or content-driven companies
- Familiarity with MEDDIC concepts is a plus (or a willingness to learn quickly)
Important Note: We’d love to see how your experience connects to this role. We prioritize candidates who have tailored their resume to the skills and experience listed above.
