Job Description – EA + PgM responsibilities

The Opportunity
- Provides administrative support to executive officers & senior leaders. Requires in-depth knowledge of company operations, policies, and procedures. Handles details of a highly confidential and critical nature. Collects and prepares information for use in discussions/ meetings of executive staff and outside individuals. Requires a professional certification or equivalent experience in working with senior level executives within and outside the company, as well as experience with customers, vendors, visitors etc.
- In this role, the EA serves not only as an administrative partner but also as a key contributor to program planning, tracking, and delivery for organizational programs
Responsibilities
- Calendar and meeting management. Schedule meetings, conference rooms, presentation equipment & catering.
- Work across Adobe on behalf of the other executives by collaborating with other Administrative Assistants and Executive Assistants to provide coordinated support to the various leaders
- Ad-hoc requests to support the teams and Special Projects for including event management, i.e. coordinating client meetings, social and team building activities and external community events
- Travel planning & support -- domestic & international
- Process business expense reimbursement requests, invoices and PO handling
- Coordinate assistance with office space, equipment, software, office issues and any big events that the supported teams host or participate in
- Support for privacy mailbox, data access and deletion requests, data entry, and sharepoint management
- Juggle multiple demands simultaneously, from the basic to the more strategic and complex
- Work effectively within a variety of situations, individuals and groups applying the 'whatever it takes' attitude.
- Treat colleagues and customers in a manner which demonstrates integrity, honesty and fairness
- Adaptable and enjoy a challenge
- Demonstrate ability to work well cross-functionally, in a professional, efficient, completely discrete and highly confidential manner.
- Program management responsibilities
- Program operations & co-ordination - partner with leaders to coordinate org-wide initiatives, programs, and strategic projects - track timelines, deliverables, and dependencies. Support program-related communications, including updates, summaries, and reporting
- Data & Reporting - collect and consolidate program metrics, risks, decisions, and progress updates. Prepare program reports and executive-ready summaries for leadership
- Continuous Improvement - Identify gaps in workflows and recommend process improvement solutions to enhance efficiency and program outcomes.
Requirements & needed skills
- Bachelor’s Degree or equivalent work experience
- Minimum of 8-10 years of experience as Executive Assistant. Experience in roles that involve program coordination, project support, operations, or administrative work with project ownership.
- Successful candidate will be assertive, motivated and have excellent communication skills; ability to prioritize and apply sound judgment.
- Team player with strong interpersonal skills who partners well, develops & preserves positive relationships across the organization while juggling multiple/complex demands in a fast-paced environment
- Ability to work enthusiastically across organizations and with diverse personalities required. Remains calm under pressure with strong executive presence
- Demonstrated experience coordinating or supporting multi-step projects or programs, ideally involving cross-functional teams (e.g., engineering, HR, finance, engg. program management, product man).
- Proficiency in collecting, organizing, and interpreting program data such as participation metrics, progress updates etc
- Excellent ability to communicate program goals, timelines, and expectations clearly to stakeholders at all levels
- Candidate must demonstrate the strongest attention to detail, accuracy, and be able to work effectively with a minimum of direction in a fast-paced environment.
- Extremely organized with the ability to work autonomously, pro-active - takes initiative and follow through
- Reliable and highly accessible. Available in the office during normal working hours and available out of hours, as needed
- Use the utmost discretion when dealing with sensitive and confidential material
- Proficient with Microsoft Office (Word, Excel, PowerPoint) and other office productivity tools (email, calendaring).
