Position Summary
SimSpace is seeking a highly organized, proactive, and service-oriented Executive Assistant & Office Manager to support our Executive Leadership Team while overseeing the daily operations of our Orlando headquarters.
Reporting to the Chief Financial Officer, this role provides administrative and operational support to the Executive Leadership Team, including calendar management, meeting coordination, travel planning, company events, and cross-functional initiatives. The position also oversees the day-to-day operation of the headquarters, ensuring a professional, efficient, and welcoming environment for employees, customers, partners, and visitors.
This individual serves as a trusted partner to the 8 members of the executive team, balancing executive support with office operations in a fast-paced, high-growth cybersecurity company.

This is an in-office position based at SimSpace's corporate headquarters in Orlando.
Regular in-office presence is an essential requirement of this role. The Executive Assistant & Office Manager is expected to work from the office on a regular basis, as determined by business needs, to effectively support the Executive Leadership Team, manage office operations, coordinate customer and partner visits, and facilitate company meetings and events. Occasional flexibility may be available; however, this is not a remote or primarily hybrid position.
Key Responsibilities
Executive Support
Provide administrative support to the Executive Leadership Team (8 executives).
Manage complex calendars, scheduling, and meeting logistics.
Coordinate, as required, domestic and international travel arrangements.
Record meeting minutes and track follow-up action items.
Coordinate executive communications with internal and external stakeholders.
Assist executives with special projects and strategic initiatives.
Support Board meetings, leadership meetings, and executive off-sites as needed.
Office Operations
Manage the daily operation of the Orlando office.
Welcome employees, customers, candidates, and visitors.
Ensure conference rooms are fully prepared for meetings.
Coordinate office supplies, kitchen inventory, and office equipment.
Manage incoming mail, deliveries, and vendor relationships.
Coordinate lunch, catering, and hospitality for meetings and visitors.
Work with building management, cleaning services, and maintenance vendors.
Maintain a clean, organized, and professional office environment.
Meetings & Events
Plan and coordinate company-wide All Hands meetings.
Coordinate executive meetings and customer events.
Manage invitations, RSVPs, room setup, and A/V requirements.
Coordinate team events, celebrations, and employee engagement activities.
Project Coordination
Track executive priorities and project timelines.
Coordinate communication across departments.
Organize project documentation and follow-up activities.
Assist with administrative projects across Finance, HR, Legal, and Operations.
Qualifications
Required
5+ years supporting multiple senior executives or executive leadership teams.
Experience supporting several executives simultaneously.
Experience managing office operations in a professional environment.
Excellent organizational and project management skills.
Outstanding written and verbal communication skills.
Strong attention to detail and ability to maintain confidentiality.
Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).
Experience with Zoom, Microsoft Teams, Google Meet, and conference room technology.
Experience coordinating domestic and international travel.
Preferred
Experience supporting executives in a technology or cybersecurity company.
Experience planning company events and executive meetings.
