Group Executive Assistant II
Location: Hoffman Estates, IL
Make an impact at the executive level.
Are you a forward-thinking professional who takes initiative, exercises sound judgment, and thrives in a fast-paced executive environment?
We’re seeking a Group Executive Assistant who brings exceptional organizational skills, business awareness, and a proactive mindset to support the Group President and Senior Management team.
This is more than a traditional administrative role. As a trusted partner to the Group President, you will help manage competing priorities, prepare for what’s ahead, and ensure the details that keep the business moving are handled seamlessly. You’ll be expected to think independently, recognize opportunities to add value, and take responsibility for outcomes—not simply respond to requests.
The ideal candidate is composed under pressure, confident navigating changing priorities, and committed to making leadership more effective through sound judgment, thoughtful preparation, and reliable execution.
What you’ll do
- Partner with the Group President: Manage complex calendars, coordinate global meetings and international travel, and work effectively with colleagues and stakeholders across regions and time zones to ensure priorities are aligned and leadership commitments run smoothly.
- Anticipate and prepare: Develop agendas, briefing materials, schedules, and presentations; identify potential conflicts or gaps in preparation; and ensure leaders have the information they need to make decisions.
- Drive coordination and communication: Serve as a key liaison between senior leaders and internal and external stakeholders. Coordinate executive-level interviews with HR and Talent Acquisition, and prepare clear, professional correspondence.
- Own administrative operations: Oversee expenses, invoices, reimbursements, approvals, travel and expense processes, and other essential administrative responsibilities with accuracy and discretion.
- Improve how work gets done: Take ownership of special projects, resolve issues, identify process improvements, and maintain momentum when circumstances change or unexpected challenges arise.
What you’ll bring
- Relevant experience: 10+ years of administrative experience, including at least 5 years supporting multiple senior-level executives. Experience supporting a Group President or C-suite executive is highly valued.
- Initiative and business judgment: The ability to work several steps ahead, understand priorities, make informed decisions, and recommend solutions without needing constant direction.
- Accountability and follow-through: A strong sense of responsibility, attention to detail, and commitment to seeing tasks and projects through to completion.
- Composure and professionalism: The ability to remain unflappable in a demanding environment, adapt to shifting priorities, communicate diplomatically, and handle confidential information with discretion.
- Strong technical, organizational, and international collaboration skills: Excellent written and verbal communication, outstanding time management, and advanced proficiency in Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint, as well as Microsoft Teams and Zoom. Comfortable working in an international business environment, collaborating across global time zones and cultures, and adapting to different working styles.
What’s in it for you?
- Executive-level exposure: Work directly with the Group President and Senior Management team and gain insight into business operations, strategic priorities, and leadership decisions.
- Meaningful responsibility: Play an important role in executive effectiveness and contribute to the smooth operation of the broader business.
- Trust and autonomy: Have the opportunity to exercise judgment, manage responsibilities independently, and influence how executive support is delivered.
- Professional development: Expand your business knowledge, build relationships across functions, and develop skills that support long-term career growth.
- A rewarding employee experience: Receive a competitive salary, comprehensive benefits, and opportunities for recognition in an international environment that values your contributions.
Ready to make your mark?
If you take pride in being dependable, thinking ahead, and making things happen, this is an opportunity to put those strengths to work. We’re looking for someone who can be counted on to exercise sound judgment, navigate complexity, and serve as a valued partner to the Group President and Senior Management team.
If you’re ready to make a meaningful contribution beyond traditional administrative support, we invite you to apply.
