As Executive Assistant within IB&M Finance, you'll play a pivotal role supporting senior leaders while helping to create an engaged, high-performing and well-connected team.
Reporting to the General Manager, IB&M Finance Performance Management, you'll provide trusted support to three General Managers across executive administration, stakeholder coordination, team engagement and operational activities. Within Financial Services, IB&M Finance provides financial control, performance insights, product control and regulatory accounting support to Institutional Banking & Markets (IB&M). The team works closely with senior stakeholders across the Bank to help drive informed decision-making and business performance.
Your impact
You will:
- Provide proactive diary, inbox and time management, ensuring leaders' priorities are effectively coordinated.
- Deliver professional administrative, secretarial and business support to three General Managers and their broader teams.
- Coordinate meetings, leadership forums and stakeholder engagements, including agendas, papers, minutes, actions and follow-up.
- Collate and review presentations, reports and briefing materials, ensuring priority items are actioned.
- Coordinate domestic and international travel, appointments, events and business logistics.
- Build and maintain strong relationships with internal and external stakeholders across the Group.
- Support onboarding and team administration activities, partnering with leaders and support teams to deliver a positive employee experience.
- Assist with the delivery of culture, engagement, wellbeing and recognition initiatives across IB&M Finance.
- Maintain team collaboration platforms and information repositories, including SharePoint and Microsoft Teams.
- Support planning activities, business events, team communications and leadership priorities.
- Manage invoices, purchase orders and financial administration in line with Group policies and budgets.
- Coordinate technology, facilities and operational requests to ensure smooth day-to-day team operations.
- Monitor and maintain people, compliance and operational reporting requirements.
- Identify opportunities to improve processes, enhance efficiency and support consistent ways of working across the team.
