The United Pentecostal Church International is currently recruiting for the position of Executive Assistant I (Operations Coordinator) within Global Missions. Reporting to the General Director, the Executive Assistant I (Operations Coordinator) is the central point of communication and coordination for shared administrative and logistical needs across the different areas of Global Missions. This position supports collaboration and communication among Global Missions executives, their executive assistants, and teams.
Essential Duties and Responsibilities
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Office & Team Coordination: Coordinate shared administrative and logistical needs across Global Missions; facilitate monthly Executive Assistant meetings; support Regional Directors during office days; and serve as a bridge between Executive Assistants, Regional Directors, departments, and teams.
- Events & Hospitality: Coordinate and communicate logistics and hospitality needs for visitors, missionaries, meetings, and events, such as General Conference, Planning For Progress, orientations, and staff meetings.
- Communications: Coordinate the administrative workflow for recurring external Global Missions communications, such as Prayer & Praise, Regional Director support as needed, Tour Guide responsibilities when assigned, and other approved communications. Ensure that internally affecting decisions are communicated promptly to the appropriate individuals and that assigned projects are carried through.
- Calendar & Leadership Follow-Through: Maintain the Global Missions master calendar, identify scheduling conflicts and upcoming needs, and provide support in organizing and communicating decisions, assignments, deadlines, and cross-department follow-through.
- Systems & Records: When requested, submit, track, and follow up on website, building, Freshdesk, and other shared-system requests; and support consistent use of approved internal collaboration systems.
- Reception & Administrative Support: Coordinate reception and office-support responsibilities, including incoming calls, visitors, routine inquiries, select schedule and itinerary updates, and administrative support for the General Director as requested.
- Office Environment & Supplies: Maintain office, kitchen, food and beverage supplies, and help ensure that reception, kitchen, shared storage, and other shared spaces remain welcoming, organized, and ready for use.
Minimum Training and Experience Required
- Demonstrated experience in office administration, event logistics, hospitality, or a related support role.
- Proficiency with Microsoft Office 365, particularly Outlook, Word, and Excel; ability to learn and support approved collaboration, calendar, and workflow systems.
- Working knowledge of Canva, Avery templates, and basic production tools.
- Strong organizational, written and verbal communication, interpersonal, customer-service, and follow-through skills.
- Knowledge of administrative procedures, standard office equipment, and basic math.
- Ability to prioritize requests, maintain confidentiality, anticipate practical needs, and work under the direction of the General Director.
