Executive Assistant – Are you the person who naturally turns questions into answers, ideas into action plans, and loose ends into completed projects? We’re looking for a sharp, detail-driven problem solver to partner with our Executive Pastor in a role that goes well beyond traditional administrative support. You’ll help manage projects and initiatives, research questions and options, audit information across systems, track follow-up and deadlines, and work with leaders and staff across Casas to keep important things moving forward. Strong organizational, research, analytical, and project management skills are essential, along with proficiency in Google Workspace and Microsoft 365 and the ability to work confidently with data, spreadsheets, shared drives, and multiple systems. Discretion and confidentiality are critical, as is the ability to use good judgment, ask thoughtful questions, and adapt when priorities shift. This is a part-time, in-person role during weekday office hours (approximately 24 hours per week). QualificationsPrimary Responsibilities
- Administrative Support
- Manage the Executive Pastor’s calendar, appointments, and meetings with proactive scheduling and prioritization.
- Handle confidential correspondence, emails, calls, and documents.
- Prepare agendas, take notes, and follow up on action items from meetings.
- Draft, proofread, and edit communications, reports, and presentations.
- Support the Pastor Team, Casas Council, and Elders as required.
- Operational Support
- Anticipate needs and resolve issues before they become problems.
- Track and organize ongoing projects and initiatives to ensure deadlines are met.
- Manage multiple priorities and adapt quickly with grace and composure.
- Able to evaluate competing priorities to focus on what matters most.
- Assist in planning and executing church-wide and staff events.
- Support evening/weekend meetings, events or urgent needs as required.
- Relational/Staff Liaison
- Serve as the point of contact for staff needing access to the Executive Pastor.
- Build trust and strong working relationships with staff.
- Exercise discernment and tact in handling sensitive matters.
