The Opportunity:


Onex is searching for an experienced Executive Assistant to support Client and Product Solutions team members in both Toronto and NY offices. The Executive Assistant will be responsible for various administrative duties outlined below. The role will be based in Toronto. 

Key Responsibilities:

  • Maintenance and management of calendars for several team members utilizing Microsoft Outlook.
  • Scheduling appointments and heavy calendar management; manage a busy and ever-changing calendar, and prioritize appointments.
  • General administrative support including creating, maintaining, and editing documents, spreadsheets and presentations.
  • Preparation of all necessary meeting materials including presentations, agendas and any other required documents.
  • Coordination of internal and external meetings to include room reservation, equipment set-up, catering, and meeting material preparation.
  • Assist in planning, organizing, and executing internal and external firm events, including LP lunches, offsites, and the Annual Investor Meeting.
  • Working with other EA and team members to manage all event logistics end-to-end—including vendor relationships, budget tracking, RSVPs, seating charts, event materials, and on-site execution—to ensure a seamless guest experience.
  • Arrange international and domestic travel for team members including flights, hotels, car rentals, and car services, as required.
  • Process expense reports in compliance with firm travel policies.
  • Other administrative duties as required.

Candidate Profile:

  • 3-5 years of related administrative or executive assistant experience. Prior experience within private equity, professional services or financial services is preferred.
  • Proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint).
  • Excellent verbal and written communication skills.
  • A high degree of professionalism, initiative and independence; excellent professional demeanor with the ability to work with a wide range of levels and management.
  • Comfortable working in a fast-paced environment, ability to multi-task, shift direction easily and prioritize.
  • Excellent time management, organizational and interpersonal skills
  • Previous experience in event planning or coordination is an asset.
  • Solutions oriented; resourceful, well organized, highly dependable, efficient and detail oriented.
  • Must be able to handle confidential information with the appropriate level of discretion; prudent and able to exercise proper discretion when dealing with confidential matters.
