Job Summary
Reporting directly to the President, the Executive Assistant provides executive support in a one-on-one working relationship, serving as the primary point of contact for internal and external constituencies on matters pertaining to the Office of the President. This role also serves as a liaison to the executive management team (EMT) and senior management team, organizes and coordinates executive outreach and external relations efforts, and oversees special projects.

Success in this role requires good judgment across a variety of situations, strong written and verbal communication, administrative and organizational skills, and the ability to balance multiple priorities. The ideal candidate can work independently on projects from conception to completion, and handle a wide variety of activities and confidential matters with discretion under pressure.
Essential Functions
● Complete a broad variety of administrative tasks for the President, including managing an active calendar, completing expense reports, composing confidential correspondence, and arranging complex travel plans and itineraries
● Plan, coordinate, and ensure the President's schedule is followed and respected, serving as a gatekeeper for direct access to the President's time
● Communicate directly, and on behalf of the President, with EMT members and others on programmatic initiatives
● Research, prioritize, and follow up on incoming issues and concerns addressed to the President, including sensitive or confidential matters
● Provide a bridge for smooth communication between the President's office and internal departments, maintaining credibility, trust, and support with senior management staff
● Keep the President well informed of upcoming commitments and responsibilities, following up appropriately
● Build relationships crucial to the organization's success and manage special projects for the President, some with organizational impact
● Draft acknowledgement letters, personal correspondence, and other deliverables that support the President's ability to lead the company
● Prioritize conflicting needs and handle matters expeditiously and proactively, following through on projects to successful completion under deadline pressure
Qualifications
Required:
● High school diploma or equivalent
Preferred up to:
● 8 years of experience in the field, OR
● Associate's degree plus 6 years of experience, OR
● Bachelor's degree plus 4 years of experience, OR
● Master's degree plus 2 years of experience
Additional Skills
● 3+ years of administrative support or executive assistance experience
● Strong problem-solving ability
● Excellent oral and written communication skills
● Proficient in MS Office applications (Word, Excel, PowerPoint, Visio, and Outlook)
● Ability to maintain a professional demeanor in a fast-paced, deadline-driven environment
● Highly organized, detail-oriented, and skilled at time management; able to work both independently and collaboratively
● Experience with global logistics, FCPA compliance, internal controls, or ISO 9001 is a plus
Physical Requirements & Working Conditions
● Ability to lift 40 pounds; ability to stand/walk for lengths of time
● Plant conditions, including exposure to noise, fumes, and cleaning chemicals
● Regular exposure to extreme temperatures; ability to lift and move up to 60 lbs.
● Normal office conditions about 50% of the time
