What You Will Do

As our Executive Assistant, you will serve as a key administrative leader and trusted operational partner to our Executive Director, Deputy Director, and Board of Directors. You will help keep our agency running smoothly, creating connected and responsive systems across our organization.

In this role, you will:

  • Support Governance & Leadership: Manage executive calendars, facilitate Cabinet meetings, and coordinate Board of Directors operations, ensuring meeting materials, public records, and governance requirements are seamlessly handled.
  • Guide Administrative Operations: Draft and coordinate executive communications, manage confidential agency records, and continuously refine operational processes to better serve our team and partners.
  • Coordinate Programs & Events: Bring people together by managing logistics for superintendent committees, stakeholder meetings, and agency-wide events.
  • Partner Across Departments: Work alongside Finance and Operations on procurement, invoicing, and administrative workflows, serving as a liaison for staff, vendors, and community members.
QualificationsWhat You Bring
  • Experience & Background: A Bachelor’s degree (or equivalent experience) and 5–7 years of administrative experience, ideally supporting senior leadership, a governing board, or a mission-driven public/nonprofit organization.
  • Core Skills: Outstanding organizational abilities, clear communication, and working knowledge of Open Meeting Law and meeting protocols.
  • Tech Savvy: Confidence using Google Workspace, Microsoft Office, Zoom, Teams, and other agency systems.
  • Flexibility: A reliable way to travel locally as needed, availability for periodic evening Board meetings, and a Massachusetts Notary Public license (or willingness to obtain one within six months).

Working Conditions
  • Full-time, exempt position. 
  • Fully in-person, on-site, in an office environment.
  • Regular business hours with attendance at evening Board meetings, committee meetings, and agency events.
  • Occasional travel between agency locations and regional meetings.

Terms of Employment
  • Position: Full-time (40 hours/week), exempt, fully in-person at our Northampton, MA office.
  • Schedule: Regular business hours with periodic evening meetings.
  • Compensation: $58,800 to $88,200 per year. 
    • Anticipated hiring range: $62,000 to $77,000

Skills Required

  • Bachelor's degree or equivalent experience
  • 5-7 years of administrative experience, ideally supporting senior leadership, a governing board, or a nonprofit/public organization
  • Outstanding organizational abilities
  • Clear written and verbal communication skills
  • Working knowledge of Open Meeting Law and meeting protocols
  • Proficiency with Google Workspace, Microsoft Office, Zoom, Teams, and other agency systems
  • Experience managing confidential agency records and executive communications
  • Experience coordinating events, stakeholder meetings, and board processes
  • Experience partnering with Finance/Operations on procurement, invoicing, and administrative workflows
  • Reliable local transportation and availability for periodic evening Board meetings
  • Massachusetts Notary Public license or willingness to obtain within six months
