Hexcel is currently seeking an Executive Administrative Assistant for our Corporate Headquarters, Stamford, CT location. 

The Executive Administrative Assistant will provide support to the Stamford Integrated Supply Chain (ISC) SVP, Investor Relations VP and their teams.  The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision.  This person must be exceedingly well organized and able to interact with all levels of staff in a global environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality. The ideal candidate will be dynamic, organized, proactive, possess excellent judgment, and have a proven ability to independently manage multiple tasks and projects with competing priorities and deadlines.

The selected individual will be responsible for but not limited to the following obligations:

  • Manage daily schedule and calendar, ensuring that the schedule is known in advance and keeping appointments and meetings on time or changing schedules when necessary. 

  • Manage external contacts, proactively understanding who they are and be able to prioritize all visitors, calls and meeting requests.

  • Prepare and edit correspondence and communications. Review, summarize and prioritize incoming communications as necessary.  

  • Coordinate meetings requiring the interaction with both internal and external constituents. Preparing meeting agenda; assisting with and providing research/background information, content development, and the creation of Power Point presentations and Excel spreadsheets.

  • Make complex international and domestic travel arrangements.  Proactively coordinating the pre-planning of trips with various internal functions and making necessary preparations.

  • Process and maintain expenses using Concur expense reporting system for ISC team and CEO.

  • Support office operations (assist the team with facilities management, security, deliveries, reception area, supplies, etc.).

Qualifications:

  • Bachelor's degree preferred, and a minimum of 5 years of experience supporting corporate senior leadership positions/C Suite executives.

  • Demonstrated ability to handle confidential information appropriately.

  • Experience working in a fast-paced global environment and comfort with international cultures. Experience managing calendars across multiple time zones/countries. Experience booking complex international/domestic travel arrangements. Experience coordinating meetings with numerous participants (virtual, onsite, remote settings) and experience preparing meeting materials.

  • Highly proficient in the following software programs: MS Word/Excel/PowerPoint, Teams, Sharepoint, Concur. Tech savvy - able to learn new software platforms/web portals.

  • Excellent written and verbal communication skills. Adaptable, approachable, proactive, anticipatory.

  • Must be a professional, detail-oriented person with an executive presence, maturity, and judgment.

  • Strong problem-solving skills, resourceful.
