You will act as the center of control and people rely on your support and skill to keep things running smoothly as you take care of budgets, expenses, ordering supplies, answering calls and emails.
- Provide administrative support executing activities while building strong relationships with those you interact with
- Manage senior leader calendar and meeting scheduling
- Answer calls and emails, responding to queries and requests appropriately
- Coordinate complex travel accommodations, including flights, hotel reservations, maps, directions, and ground transportation.
- Prepare and revise meeting and presentation materials
- Create general correspondence, including letters, memos, e-mails, and reports
- Complete and update reports and maintain systems and data
- Maintain general office functions by updating and maintaining databases and files
- Provide key support for special projects as needed
- Manage archiving and filing in line with statutory requirements and company policy
- Perform duties as needed related to budget, expenses and purchasing processes
What you need to know about this position:
- Will need to operate within ambiguity and often without clear structure
- Comfortable being proactive with senior leaders
- Attention to detail combined with proactive attitude, very good communication and interpersonal skills
- May require limit travel to support meetings
Requirements:
- High school diploma required, college degree or some business classes preferred
- 5 or more years of experience supporting at the executive level
- Excellent organization and interpersonal skills, good judgment and diplomatic
- Ability to build great internal networks and relationships to key stakeholder groups
- Dynamic team player, high initiative thriving in a global, diverse environment
- Must be able to anticipate needs and respond accordingly
- Multitasker who works independently and is self-motivated to make a difference
- Tech Savvy - advanced proficiency with MS Office and overall affinity and interest in new technology
- Exceptional verbal and written communication skills, attention to detail and accuracy
- Ability to handle sensitive and confidential information with maximum discretion and diplomacy
- Poised under pressure and flexible to adapt in a fast-paced environment
