As an Executive Administrative Assistant within Commercial and Investment Banking Global Credit Trading & Syndicate, you will navigate the firm effectively and excel in a dynamic, deadline-driven environment. You will bring strong organizational and time-management skills, along with polished interpersonal and communication abilities. You are expected to demonstrate a high level of professionalism, exercise discretion, and consistently deliver high-quality work.

 

 

Job Responsibilities

 

  • Proactively manage administrative functions independently, and communicate potential issues or delays in advance.

  • Help plan, organize, and execute events, including providing on-site support as needed.

  • Coordinate domestic and international travel arrangements, including logistics and itinerary management.

  • Prepare and submit a high volume of expense reports accurately and on time, ensuring adherence to company policies and guidelines.

  • Manage a high volume of emails by prioritizing requests and responding promptly and professionally.

  • Handle incoming calls professionally; triage inquiries, escalate as appropriate, and ensure timely follow-up.

  • Partner closely with the administrative team to ensure seamless coverage, knowledge sharing, and consistent support.

  • Provide proactive support for overflow work, ad hoc requests, and special projects.

 

Required qualifications, capabilities and skills

  • At least five years of administrative experience supporting at the Managing Director level (or equivalent).

  • Strong interpersonal, written, and verbal communication skills.

  • Advanced organizational skills.

  • Tech-savvy, with the ability to leverage AI applications and tools to drive efficiency, streamline processes, and automate routine tasks where appropriate.

  • Ability to manage responsibilities independently, anticipate needs, and communicate potential issues proactively; demonstrates sound judgment and a sense of urgency in handling high-volume scheduling demands.

  • Team-oriented, with a strong commitment to collaboration and continuity of coverage.

  • Demonstrated willingness to go above and beyond.

  • Strong proficiency in the Microsoft Office Suite.

 

Preferred qualifications, capabilities, and skills

  • College degree preferred.

Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid option
