Position Summary:
Every great organization has someone who quietly makes everything run better. At the JCC, that’s you.
As Executive Assistant, you are the warm, sharp, always-prepared partner to our CEO and COO, and the first impression for the trustees, donors, members, and community partners who walk through our doors or land in our inboxes. You’ll keep leadership’s calendars, communications, and priorities moving, and you’ll be the behind-the-scenes engine for our biggest moments: donor campaigns alongside the Director of Development, and signature events like the Gala and the Annual Golf Outing.
This is a role for someone who loves being the person people count on, who can juggle ten things without dropping the friendliest one, and who treats every interaction as a chance to make someone feel welcome.
Duties and Responsibilities:

- Coordinate travel, conference registrations, and meeting logistics, including scheduling, room reservations, and catering.
- Prepare agendas, meeting packets, presentations, reports, and accurate meeting minutes.
- Screen and route calls, emails, and visitors with professionalism and warmth; take accurate messages and follow up promptly.
- Handle confidential correspondence and sensitive information with complete discretion.
- Support the CEO with Board of Trustees communications, meeting materials, and minutes as directed.
- Maintain executive office files, supplies, and purchasing, including purchase orders, invoices, and inventory logs.
- Serve as a go-to resource for staff and trustees who need help with office equipment and technology.
Development & Donor Campaign Support
- Partner with the Director of Development to support donor campaigns, including mailings, donor communications, acknowledgments, and follow-up.
- Maintain accurate donor, sponsor, and event records in TractionRec (Salesforce); pull reports and track campaign progress.
- Help ensure every donor and sponsor feels recognized, thanked, and connected to the JCC’s mission.
Events
- Support planning and execution of large-scale events such as the Gala and the Annual Golf Outing, including timelines, vendor coordination, registration, guest communications, volunteers, and day-of logistics.
- Provide on-site event support, including some evenings and weekends.
- Keep event checklists, run-of-show documents, and post-event follow-up organized and on schedule.
Customer Service & Culture
- Be the friendly, polished face and voice of the Executive Office for members, guests, donors, trustees, and partners.
- Welcome, thank, and engage everyone you encounter, and help resolve questions or concerns quickly and graciously.
- Collaborate with the Executive Team and staff across all departments in a positive, solution-oriented way.
