Role Summary

Due to continued growth, Boswell is seeking a highly organized and proactive Administrative Assistant to serve as the key administrative partner to our Vice President of our vital Power & Energy Division.  Our ideal candidate is detail-oriented, adaptable professional capable of managing multi-faceted responsibilities in a fast-paced engineering environment while maintaining the highest level of confidentiality and professionalism.  This vital position reports daily to our South Hackensack, NJ Headquarters.

Key Responsibilities

  • Executive & Department Support (10 – 12 people): Provide administrative assistance to the Department Head, including calendar management, meeting coordination, travel arrangements, and telephone screening
  • Technical Document & Data Management: Prepare, proofread, and format highly detailed technical correspondence, client forms, spreadsheets, and engineering reports; maintain and update divisional databases, physical files, and digital scans
  • Process Flow & Synchronization: Learn, implement and lead the required processes for various clients and stakeholders (including electric utilities, municipalities)
  • Logistics & Event Planning: Coordinate logistics, scheduling, and materials for internal team meetings, external client presentations, and industry conferences
  • Information Security: Discreetly handle and safeguard proprietary business information and sensitive client data

Qualifications & Skills

  • Experience: A minimum of 7+ years of proven administrative experience within an Engineering, Utilities and/ or Construction office environment (electric utilities experience preferred but not required)
  • Education:  Associate’s Degree, Bachelor’s Degree or relevant Certification(s) are preferred.
     
  • Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) with a strong aptitude for learning industry-specific database software
     
  • Exceptional verbal and written communication skills (including expert-level grammar and proofreading); strong and collaborative problem-solving capabilities
     
  • Demonstrated ability to multi-task, prioritize conflicting deadlines, and operate independently as a self-starter

Pay Transparency: In accordance with local law, the hourly-exempt range below is applicable for the job and location associated with this requisition. Actual compensation will vary based on specific relevant experience, education, certifications, and other compensable factors.

Salary Range: $28 - $33 / hour
