Care Alliance Health Center is seeking an Executive Administrative Assistant to provide high-level executive, administrative, and strategic support exclusively to the Chief Executive Officer.

About the Role

The Executive Administrative Assistant provides comprehensive support to the CEO by managing a highly complex and frequently changing calendar, coordinating internal and external meetings, preparing executive communications, supporting Board governance activities, and ensuring the CEO is prepared for meetings, events, public appearances, and strategic priorities.

This position is ideal for someone who can anticipate needs, manage competing priorities, maintain confidentiality, and represent the Office of the CEO with professionalism, discretion, and sound judgment.


What You'll Do

Key responsibilities include:

  • Provide comprehensive executive support exclusively to the Chief Executive Officer 
  • Manage a complex and frequently changing executive calendar 
  • Coordinate meetings, Board commitments, committee obligations, community events, travel, and speaking engagements 
  • Prioritize appointments and proactively resolve scheduling conflicts 
  • Prepare daily schedules, briefing materials, agendas, and background information for meetings and events 
  • Draft, edit, proofread, and coordinate executive correspondence, reports, presentations, talking points, and professional communications 
  • Track executive action items and ensure timely follow-up 
  • Coordinate internal and external communications initiated by the CEO 
  • Collaborate with the Director of Marketing & Communications to support aligned executive messaging 
  • Assist with preparation for media interviews, public appearances, and executive presentations 
  • Prepare Board agendas, meeting materials, executive reports, and presentation packets 
  • Coordinate Board and committee meeting logistics, scheduling, communications, and technology 
  • Maintain Board calendars and governance records 
  • Record and distribute Board and committee meeting minutes as requested 
  • Coordinate travel arrangements, itineraries, accommodations, transportation, and expense documentation 
  • Manage the CEO’s participation on external boards, committees, advisory councils, and community organizations 
  • Coordinate conferences, community events, and speaking engagements 
  • Prepare briefing materials, biographies, presentations, and supporting documentation for external engagements 
  • Support executive projects, strategic initiatives, deadlines, deliverables, and cross-functional follow-up 
  • Serve as a primary point of contact between the CEO and executive leadership, Board members, staff, community partners, elected officials, donors, and external stakeholders.

Work Environment

This position operates primarily in an administrative office environment with frequent interaction with executive leadership, Board members, staff, community partners, government officials, donors, and external stakeholders. The role requires managing multiple priorities in a fast-paced, mission-driven healthcare organization and may require occasional attendance at meetings and community events outside of normal business hours.

Occasional local and regional travel may be required to support the CEO at Board meetings, community events, conferences, speaking engagements, and organizational activities.

The ideal candidate is an excellent communicator, strong relationship builder, and proactive problem solver who understands how to support a busy CEO with multiple internal and external commitments.


Required Qualifications

  • High school diploma or equivalent required 
  • Minimum of five years of experience providing executive-level administrative support to senior executives 
  • Experience supporting a Chief Executive Officer or other C-suite executive preferred 
  • Experience coordinating Board of Directors and executive committee activities 
  • Exceptional written and verbal communication skills 
  • Demonstrated experience drafting executive correspondence, presentations, reports, and professional communications 
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams 
  • Strong organizational, project management, and time management skills 
  • Ability to maintain confidentiality and exercise independent judgment 
Preferred Qualifications
  • Associate or bachelor’s degree in business administration, Healthcare Administration, Communications, Public Administration, or a related field 
  • Experience in a Federally Qualified Health Center, healthcare, nonprofit, or public sector organization 
  • Experience coordinating executive travel and public speaking engagements 
  • Experience supporting executive communications, media preparation, and Board governance 
  • Experience working with executive leadership in a fast-paced, mission-driven environment.
