Job Description
Purpose
We are seeking a detail-oriented and organized Event Coordinator to support the Event Manager in planning and executing both external industry events (tradeshows, client events) and internal employee events (sales incentive trip, sales kickoff). The Event Coordinator will play a crucial role in managing logistics, vendor relationships, communications, and global on-site coordination to ensure seamless event execution. This role is ideal for someone with strong multitasking abilities, excellent communication skills, and a passion for creating impactful experiences.
Key Responsibilities:

Event Planning & Coordination
-
Assist in planning and executing industry events such as conferences, trade shows, and client meetings, as well as internal events such as Intelerad’s sales incentive trip and Growth team kickoff. Event locations vary by location each year.

Support event logistics, including venue selection, catering, audio/visual needs, transportation, and travel accommodations.

Help prepare event timelines, checklists, and task assignments to ensure smooth event execution.

Support the creation and distribution of event materials, invitations, and signage.

On-Site Event Support

Assist with on-site event setup, coordination, and teardown.

Manage event registration, check-in, and attendee communications.

Troubleshoot and resolve any issues or last-minute changes that arise during events.

Communication & Collaboration

Serve as a key point of contact for internal and external stakeholders to ensure alignment on event goals and objectives.

Coordinate with marketing and communications teams to promote events and ensure branding consistency.

Provide post-event reports, including budget reconciliation and feedback summaries.

Budgeting & Tracking
-
Assist in tracking event budgets and expenses to ensure alignment with financial goals.

Maintain event records, including contracts, invoices, and expense reports.
Qualifications
Qualifications:
-
Bachelor’s degree in Event Management, Marketing, Communications, or related field.

1-3 years of experience in event coordination or a similar role.

Strong organizational and multitasking skills, with a keen attention to detail.

Excellent communication and interpersonal skills.
-
Ability to work under pressure and adapt to changing priorities.

Proficiency in event management software (e.g., Cvent, Eventbrite) and Microsoft Office Suite (Excel, PowerPoint, Word).

Flexibility to travel nationally and internationally and work on evenings/weekends when necessary.
Travel Requirements: 20% travel required, passport required
