Wavestone Luxembourg has offered business, public policy, technology, and cybersecurity consulting to European and international organisations for over ten years. We work with various EU Institutions, including the European Commission, and EU Agencies like euLISA and ENISA. In the financial sector, we serve clients such as EIB, EIF, ECB, ESM, and ESMA.
Join our Wavestone EU Account Team and work within the European Institutions and International Organisations sector. As part of our team, you will be involved in leading large proposals, developing and submitting technical and financial bids for our clients. You will actively manage other sales professionals, fostering collaboration with network companies and partners, including subcontractors. Additionally, you will support senior management in shaping and executing office-wide sales strategies.

Key Responsibilities:
Opportunity Identification
• Daily screening and qualification of opportunities from all EU Institutions;
• Advise consulting teams on upcoming opportunities.
Proposal Coordination
• Central point of contact for EU framework proposals, coordinating responses from initiation to submission;
• Analyse tender requirements, ensuring compliance with EU procurement regulations and internal standards;
• Coordinate inputs from internal teams, partners, and subcontractors for timely and competitive submissions;
• Draft, format, and ensure quality of proposals, including CVs, references, and compliance documents;
Contract Management
• Oversee management and delivery of awarded framework contracts;
• Liaise with EU institutions, consulting teams, consortium partners, and subcontractors;
• Track and document framework performance, identifying areas for improvement and future opportunities;
• Organise and coordinate client and consortium meetings;
• Liaise with the legal team for appropriate contractual arrangements.
Relationship Management
• Develop and maintain relationships with EU institutions, partners, and consulting teams;
• Develop and execute effective pitch plans with EU Institutions and partners;
• Represent Wavestone at EU-related meetings, conferences, and networking events;
• Provide guidance on EU procurement requirements and best practices.
Team and Partner Coordination
• Manage and mentor sales professionals , ensuring performance and professional development;
• Lead collaboration with Wavestone network companies and partners, including coordination and alignment with subcontractors;
• Support senior management in leading the office sales strategy, pipeline management, and account planning activities.
Administrative Support
• Ensure adherence to internal policies, governance procedures, and EU public procurement rules;
• Maintain accurate records of proposals and contracts in SharePoint;
• Prepare reports, presentations, and briefing materials for senior management;
• Liaise with legal and financial control teams for proper closing and invoicing procedures;
• Maintain up-to-date records in the CRM system (Salesforce) and prepare accurate sales reports.
• Master’s degree in communication, political science, marketing, or a related field;
• Up to 10 years of experience in a similar position, preferably in sales for EU institutions;
• Fluency in English is a must; knowledge of French is an advantage;
• Solid knowledge of bid management processes with a strong understanding of the EU Institutions and International Organisations sector;
• Excellent client-facing skills with strong communication;
• Strong organisational, time management, and administrative support skills;
• Highly detail-oriented with a focus on accuracy and precision;
• Ability to identify areas for continuous improvement and carry out improvement actions;
• Ability to work under pressure and meet strict deadlines;
• Experience with Word, PowerPoint, Excel, and Salesforce.
