Job Description – Enterprise AI Tools Associate
Mission of the Role:
Mission of the RoleThe Enterprise AI Tools Associate will help maximize the value of Apex's enterprise AI investments by managing AI platform adoption, license allocation, token consumption, spend optimization, and business reporting across tools such as Claude, Microsoft Copilot, ChatGPT Enterprise, and Google Gemini.
Reporting to the CIO, this role serves as the bridge between business stakeholders, Finance, HR, and IT to ensure AI tools are cost-effective, well-governed, and delivering measurable business value across the organization.
Key Responsibilities- Manage AI licenses, user access, seat allocation, and token usage across enterprise AI platforms.
- Monitor spending, track budgets, and provide usage, adoption, and ROI reporting to leadership.
- Partner with department leaders to allocate AI resources and recommend appropriate licensing levels.
- Develop dashboards and insights related to AI utilization, productivity, and cost optimization.
- Coordinate user onboarding, training, and adoption initiatives.
- Evaluate new AI tools and capabilities and provide recommendations to leadership.
- Serve as the primary point of contact for AI vendors and support contract, renewal, and usage discussions.
- Partner with IT and Security teams to support AI governance, compliance, and responsible AI usage practices.
- Bachelor's degree in Business, Finance, Information Systems, Analytics, or a related field.
- 3+ years of experience in business analysis, technology operations, software asset management, SaaS administration, or a related role.
- Strong analytical and reporting skills with experience using Excel, Power BI, Tableau, or similar tools.
- Experience managing software licenses, budgets, subscriptions, or technology programs preferred.
- Familiarity with enterprise AI tools such as Microsoft Copilot, ChatGPT, Claude, or Gemini is preferred.
- Excellent communication, organization, and stakeholder management skills.
- Data-driven, financially minded, and naturally curious about AI.
- Skilled at balancing business needs, user adoption, and cost management.
- Comfortable working with leaders across Finance, HR, IT, and Operations.
- Able to translate technology capabilities into practical business value.
- Organized, collaborative, and focused on driving measurable outcomes from AI investments.

Location: Dallas, TX or Tampa, FL (Apex headquarters)
Reports to: Chief Information Officer (CIO)
Office expectation: 4 days in office / 1 day remote (Wednesday)
