As an Engineering Technical Support & Management Engineer you will have the following responsibilities:
Technical supports:
- Support technical and engineering personnel with project support duties
- Compile technical reports as requested by Engineering Manager
- Produce accurate statistic, relevant figures of engineering KPIs. Follow these KPIs and work with related personnel to improve KPIs.
- Undertake data analysis, identify and investigate variation.
- Prepare technical drawings, datasheets and documents under direction of engineers.
- Develop and maintain technical database and spreadsheet.
- Source technical documents, information and drawings.
General Office Administrative tasks:
- Maintain a safe working environment, complying with and promoting company’s HSE policy.
- In charge of reception/sending of incoming & outgoing mails, equipment to and from Baker Hughes Energy Vietnam office with clear trackers.
- Manage company IT equipment including of placing purchase orders, receiving, recording, issuing to employees, monitoring their movement and status.
- Manage all visitors to ensure all requirements are strictly followed with a track record.
- Responsible for office facilities and supplies to smooth operation. Monitoring office and pantry supply consumption, report and place orders.
- Liaise and support internal functions such as HR, Finance, Legal, etc. and external parties such as Viettel Building Management Team, vendors, etc.) on related tasks.
- Manage contracts with vendors such as Viettel.
- Organize company events such as monthly birthday celebrations, team building, family day, sport events, volunteering, etc. Maintain a track record for all activities including event details, photos, etc.
- Support other tasks as assigned by VGEC Engineering Manager.
General Accounting Tasks:
- Travel & Logistics – T&L
- Receiving and processing T&L for all BHEV employees.
- File T&L hard copies (original such as T&L report, invoice, tax records) properly for audits.
- Purchase requisition/Purchase Order: Creation of PR/PO in system upon requested by Manager.
- 3rd Party invoices:
- Ensure timely payment to vendors’ invoices.
- Complete all requirement for payment.
- Monitor payment status and raise payment request if needed.
- Work with related parties to resolve payment issue if any.
- Others:
- Liaise with banks to obtain bank statement, confirmation of balance letter as requested.
- Maintain company related legal documents such as licenses, insurance and timely action when they come to expiration.
To be successful in this role you will need the followings:
- Bachelor’s degree
- 2+ years experience in office management and technical support.
- Strong oral and written communication skills. Strong interpersonal skills.
- Ability to work independently.
- Self-starter with a growth mindset to problem solving and solution orientated.
- Ability to work autonomously and comfortably within a global multicultural environment, with open and inclusive mindset.
- Team player attitude and inclusiveness, combined with good communication skills.
