Introduction to role:

Are you ready to turn complex, cross-border expert engagements into compliant, seamless programs that help our science reach patients faster? As an Engagement Analyst within External Expert Engagement Services (E3S), you will process and coordinate compliant contracts for healthcare providers and patients participating in advisory boards, consulting, and speaking engagements. You will deliver first-time-right quality, on-time execution against service level agreements (SLAs), and accurate data capture for global transparency reporting. Partnering with Medical Affairs, Commercial, Compliance, Legal, Nominated Signatories, Payments, Global Meetings & Events, and IT, you will provide a seamless, compliant engagement experience and contribute to continuous improvement of E3S services.

Accountabilities:

  • Intake, triage, and queue management: Review incoming requests for completeness; triage to the correct reviewer/business area; maintain queue hygiene and case aging targets.

  • Contracting and approvals: Guide stake-holders through approvals; apply policy standards consistently, including fair market value (FMV), caps, and utilization rules. Ensure executed letters of agreement (LOAs)/contracts are obtained ahead of program start.

  • Compliance checks and documentation: Perform first-line due diligence (e.g., debarment/exclusion screening); escalate complex issues to Compliance or Legal. Collect, review, and store documentation (needs assessments, executed agreements, CVs, W‑9/banking information, payment forms) per SOPs and retention policies. Capture transparency data elements (e.g., US Sunshine/Open Payments, EFPIA, and country-specific requirements).

  • Payments coordination: Partner with the Payments team to obtain required information and resolve exceptions; target initiation of payments.

  • Service delivery and communication: Meet core quality and productivity targets: first-time-right, backlog of cases, and monthly throughput aligned to demand. Communicate clearly and professionally with internal and external stake-holders; maintain high customer satisfaction.

  • Risk management and escalation: Identify compliance risks; document decision rationale; maintain audit readiness and consistent application of AZ policies and procedures; escalate promptly when needed.

  • Continuous improvement: Provide feedback on process and system enhancements; contribute to training materials, SOP updates, and knowledge articles to improve first-time-right outcomes and reduce rework.

Essential Skills/Experience:

  • Education: Bachelor’s degree.

  • Minimum 1- 5 years of relevant experience.

  • Systems proficiency: Ability to quickly learn and navigate Salesforce CRM, Microsoft 365, and document repositories (SharePoint/OneDrive; Adobe).

  • Operational excellence: Demonstrated ability to manage multiple priorities, adhere to SLAs, and organize work across stake-holders with meticulous attention to detail and follow-through.

  • Regulatory mindset: Experience coordinating projects, contracts, or operational workflows in a regulated environment; ability to interpret SOPs and apply working instructions consistently.

  • Communication and collaboration: Excellent written and verbal communication in English; proven ability to partner effectively with cross-functional and global teams.

  • Ethics and discretion: High ethical standards and sound judgment in handling confidential and sensitive information.

Desirable Skills/Experience:

  • Industry experience: Experience in biopharma, healthcare services, compliance, legal, finance, procurement, or consulting supporting regulated clients.

  • Compliance knowledge: Familiarity with HCP/patient engagement controls, FMV, anti-bribery/anti-corruption (ABAC), and transparency requirements (Sunshine/Open Payments, EFPIA).

  • Risk and quality: Exposure to compliance, finance, auditing, quality assurance/control, SOX, or risk management.

  • Global experience: Comfort working across cultures, time zones, and distributed teams.
