Description
This position provides essential administrative and clerical support to the compliance function at The Leona Group (TLG), ensuring that employees in credentialed positions meet all applicable licensing, certification, and background check requirements. This role serves as a key resource navigating multi-state, federal, and TLG compliance requirements.
ESSENTIAL FUNCTIONS
Credential Verification & Documentation
- Collect, verify, and maintain organized records and documentation of employee licenses, certifications, and credentials to demonstrate compliance and support clear audit trails.
- Coordinate with employees, School Leaders, and other stakeholders to ensure credentials are confirmed in a timely manner.
Licensing & Permit Support
- On behalf of schools and employees, apply for permits and other required licenses or certifications.
- Advise and assist employees and School Leaders in understanding applicable requirements.
- Resolve compliance-related issues cooperatively, and process check requests and related forms as needed.
- Identify issues of concern related to compliance and bring them to the attention of the Vice President of Human Resources.
Background Check Coordination
- Initiate and manage background checks as required by TLG policy, federal regulations, and the requirements of each state in which we operate.
- Obtain necessary signatures and releases, and other documentation required for background checking purposes.
- Promptly identify any concerns revealed through the background check process, and bring them to the attention of the Vice President of Human Resources.
- Maintain accurate and complete documentation and audit trails to demonstrate that required checks were conducted.
Audit Response & Stakeholder Communication
- Respond to authorizer audits and inquiries related to employee credentials and compliance.
- Communicate with state regulators and other parties requiring compliance information.
- Collaborate with internal TLG departments on compliance audits and areas of mutual concern.
- Draft responses to audit findings for review and approval by the Vice President of Human Resources.
Regulatory Knowledge & Confidentiality
- Maintain current knowledge of certification and licensing requirements by conducting ongoing research into applicable federal regulations and the requirements of each state in which we operate.
- Handle all employee data with strict confidentiality and take active steps to safeguard against unauthorized disclosure.
Requirements
Education & Experience
- An associate's or bachelor's degree in business administration, human resources, education, or a related field preferred, but equivalent experience may be considered.
- Two or more years of experience in an administrative, compliance, or human resources role, preferably in an educational setting.
- Familiarity with state licensing or certification systems in Michigan, Indiana, or Ohio is a plus.
Knowledge, Skills & Abilities
- Ability to learn and apply federal and multi-state regulatory requirements quickly.
- Strong attention to detail with the ability to manage and organize large volumes of compliance documentation accurately.
- Ability to communicate clearly, effectively, and professionally across all communication channels.
- Proficiency in Google Workspace and Microsoft Office Suite including word processing, spreadsheets, and database or records management tools.
- Basic proficiency in using the Internet to conduct research.
- Strong organizational and time management skills with the ability to manage multiple priorities and deadlines simultaneously, even during periods of peak workload.
- Ability to handle sensitive and confidential employee information with discretion and in accordance with applicable privacy requirements.
- Collaborative mindset with the ability to work effectively across departments and with school-based staff.
