We are seeking a highly skilled Documentation and Training Specialist to support ongoing and future projects at one of the biggest European organisations. The successful candidate will be responsible for producing high-quality documentation and developing training solutions to ensure the smooth rollout and adoption of systems and procedures. This role is critical in supporting change management efforts, business continuity, and operational excellence across the organisation.
Key Responsibilities:
Documentation Tasks:
Draft and update comprehensive documentation, including:
Operational manuals
Technical guides
Functional and business requirements
Product and project documentation
Ensure consistency and quality across all documents, including correct referencing, captions, and formatting.
Proofread and edit content for clarity, accuracy, and grammar; participate in peer reviews.
Maintain organised documentation repositories for optimal accessibility and version control.
Capture and document solution capabilities in detail, ensuring technical and functional accuracy.
Produce additional documentation such as guidelines, instructions, and standard operating procedures.
Training Tasks:
Conduct training needs analysis to assess user groups affected by changes in systems or processes.
Design and develop training programs aligned with business adoption targets and organizational needs.
Prepare and update training materials, leveraging both in-house content and third-party resources.
Adapt training methodologies to diverse learning needs and modalities (e.g., e-learning, live online, and in-person).
Coordinate and facilitate training sessions and workshops.
Monitor and report on training effectiveness and impact.
Create engaging “how-to” videos and visual presentations for self-paced learning.
Technical and Collaborative Tasks:
Use web technologies (e.g., HTML, XML, JavaScript, CSS) to enhance online documentation and learning content when applicable.
Collaborate with product owners, change managers, and technical teams to ensure alignment between training and solution capabilities.
Who you are:
Mandatory requirements:
Bachelor’s degree in a relevant field (e.g., Communications, Information Technology, Education, Business, or similar).
Minimum 10 years of professional experience in technical writing, documentation, instructional design, or training delivery, preferably within large-scale projects or public institutions.
Proficient English language skills – minimum CEFR level B2.
Proven ability to produce high-quality documentation and deliver effective training programs.
Strong attention to detail, with excellent proofreading and editing capabilities.
Proficiency in documentation and learning tools (e.g., MS Word, PowerPoint, SharePoint, Confluence, Articulate).
Knowledge of web content development technologies (HTML, XML, CSS, JavaScript) is an asset.
Ability to manage multiple tasks with tight deadlines in a multicultural and fast-paced environment.
Desirable Competencies:
Experience working with EU institutions or in international public-sector organisations.
Familiarity with Agile methodologies and standard documentation practices across project life cycles.
Strong interpersonal and communication skills, with the ability to engage diverse stakeholders.
