Position Overview:

Avanceon is seeking an experienced and detail-oriented Document Controller to join our Engineering Department. The successful candidate will be responsible for managing, controlling, and maintaining engineering and project documentation throughout the project lifecycle, ensuring accuracy, compliance, and timely availability of critical records.

This role requires a professional who can effectively coordinate with engineering teams, project managers, clients, and vendors to ensure all technical documentation is properly controlled, distributed, and archived in accordance with company standards and project requirements.

Key Responsibilities
  • Document Control & Records Management:
    • Manage the storage, retrieval, distribution, and archival of engineering and project documentation.
    • Maintain the Master Document Register (MDR) and ensure all records are accurately tracked and updated.
    • Register, organize, and maintain technical documents, drawings, specifications, manuals, and project records.
    • Ensure proper document numbering, revision control, and version management across all projects.
    • Monitor document workflows and approval cycles to ensure timely processing and issuance.
    • Review documents for completeness, accuracy, and compliance with company standards.
    • Scan, upload, print, and distribute documents in accordance with established procedures.
    • Establish and maintain document retention schedules and project archives.
    • Maintain confidentiality and security of sensitive project and business information.
  • Project Documentation Coordination:
    • Coordinate document submissions, transmittals, and correspondence between clients, vendors, and internal stakeholders.
    • Track engineering deliverables and ensure documentation is submitted within project timelines.
    • Support project teams in maintaining up-to-date records throughout the project lifecycle.
    • Prepare project close-out documentation and final document packages.
    • Conduct periodic document audits to ensure compliance and accuracy.
  • Proposal & Tender Documentation Support:
    • Support proposal and sales teams in the preparation of quotations, technical proposals, and tender documentation.
    • Prepare and maintain prequalification (PQ) documents and company credential packages.
    • Manage bid logs and maintain records of tender submissions and related documentation.
    • Ensure proposal and tender documents are complete, properly formatted, and submitted within deadlines.
🎯 Qualifications & Skills
  • Bachelor's degree in Engineering, Business Administration, Information Management, or a related discipline.
  • Strong understanding of document control principles, revision management, and document lifecycle processes.
  • Hands-on experience with Electronic Document Management Systems (EDMS).
  • Proficiency in Microsoft Office Suite, particularly Excel and Word.
  • Familiarity with project documentation processes in engineering or industrial environments.
  • Knowledge of ISO 9001 documentation and quality management requirements is preferred.
  • Excellent organizational, analytical, and record-management skills.
  • Strong attention to detail and ability to manage multiple priorities simultaneously.
  • Effective communication and stakeholder coordination skills.

  • 3–5 years of experience in Document Control, Engineering Documentation Management, Project Documentation, or a similar role.
  • Experience within Engineering, EPC, Industrial Automation, Manufacturing, Construction, Energy, or Oil & Gas sectors will be preferred.
  • Proven experience managing technical documentation for multiple projects simultaneously.

Skills Required
