INTECH Process Automation is seeking a seasoned Document Controller to join our Operations & Maintenance (O&M) team. The Document Controller will be responsible for the controlled receipt, registration, review, distribution, tracking, revision control, archiving, and retrieval of project and contract documentation. The role ensures document traceability, status control, secure records management, and timely completion of final handover dossiers.
Key Responsibilities:
- Control receipt, registration, distribution, review, approval, issue, and archiving of project and contract documents.
- Maintain document numbering, revision, status, metadata, and transmittal control in accordance with approved procedures.
- Maintain accurate document registers, Master Document Registers (MDRs), transmittal logs, and tracking records.
- Manage controlled drawings, specifications, procedures, datasheets, vendor documents, technical reports, and correspondence.
- Ensure only approved and current revisions are available for use and obsolete documents are properly withdrawn or identified.
- Coordinate document submissions, reviews, comments, approvals, and responses with Engineering, Project, Construction, Operations, Maintenance, vendors, and contractors.
- Monitor document review cycles, overdue actions, deliverables, and submission status, and issue follow-ups as required.
- Maintain secure electronic and physical document repositories, ensuring appropriate access, backup, and confidentiality.
- Verify documents for completeness, format, revision, signatures, approvals, and required metadata before formal issue.
- Support preparation and compilation of final handover dossiers, as-built documentation, test records, certificates, and project close-out files.
- Maintain vendor data, inspection records, quality documents, correspondence, and contractual records with full traceability.
- Support audits and document retrieval by providing controlled records and historical revisions when required.
- Ensure document control systems and records comply with company, project, contractual, quality, and information-security requirements.
- Maintain document control reports, registers, status summaries, and CMMS/project records as applicable.
- Ensure compliance with document control procedures, data security, HSE, and site requirements.
To Be Successful in This Role, You Must Have:
- An engineering degree, diploma, or professional certification appropriate to Document Control, Administration, Information Management, or related function.
- Minimum 5 years of relevant oil & gas/industrial experience, including at least 3 years in Document Control.
- Strong experience with electronic document management systems (EDMS) and controlled project documentation.
- Proficient in document numbering, revision/status control, transmittals, MDRs, registers, and document tracking.
- Experience managing engineering drawings, specifications, vendor data, technical documents, correspondence, and contractual records.
- Strong understanding of document review, approval, distribution, archiving, and retrieval processes.
- Experience maintaining approved/current revisions, superseded documents, and full document traceability.
- Experience compiling handover dossiers, as-built records, test documentation, and project close-out files.
- Strong skills in Microsoft Office and document management systems.
- Ability to coordinate effectively with Engineering, Project, Construction, Operations, vendors, contractors, and clients.
- Strong organization, attention to detail, communication, and follow-up skills.
- Knowledge of document security, access control, data integrity, and records retention requirements.
- Relevant EDMS/document control certification or oil & gas project experience is desirable.
