Job Description:

Parsons is looking for an amazingly talented Document Controller - Saudi National to join our team! In this role you will get to support the effective management, control, distribution, tracking, and archiving of project documentation across a major project environment. You will work closely with multidisciplinary project teams to ensure documents are accurate, traceable, properly controlled, and processed in accordance with Parsons, client, and project document control requirements.
 

What You'll Be Doing
  • Manage the receipt, registration, distribution, tracking, retrieval, and archiving of project documents and correspondence.
  • Maintain accurate document registers, logs, trackers, and electronic filing systems throughout the project lifecycle.
  • Ensure all project documents are correctly identified, numbered, coded, classified, version-controlled, and filed in accordance with approved procedures.
  • Process incoming and outgoing correspondence, technical submittals, drawings, reports, RFIs, transmittals, specifications, and other project documentation.
  • Review document submissions for completeness and compliance with established document control requirements prior to processing.
  • Distribute documents to appropriate project team members, reviewers, contractors, consultants, and client representatives in a timely manner.
  • Monitor document workflows and follow up on overdue reviews, approvals, comments, responses, and outstanding actions.
  • Maintain effective revision control and ensure superseded or obsolete documents are clearly identified, withdrawn where required, and appropriately archived.
  • Prepare, process, and issue document transmittals and formal document packages.
  • Upload, retrieve, update, and manage documentation within the project Electronic Document Management System (EDMS) / Common Data Environment (CDE).
  • Maintain accurate metadata and document attributes within the EDMS/CDE to support effective search, retrieval, reporting, and traceability.
  • Coordinate with Engineering, Design, Construction, Commercial, Planning, Project Controls, Procurement, QA/QC, HSE, and other project teams regarding documentation requirements.
  • Ensure documentation complies with approved Parsons procedures, client requirements, project protocols, and established document workflows.
  • Identify missing, incomplete, duplicated, incorrectly coded, or incorrectly submitted documents and coordinate corrective action with responsible parties.
  • Support document control requirements associated with design reviews, technical approvals, construction activities, inspections, and project meetings.
  • Maintain complete and auditable records of document submissions, reviews, approvals, revisions, and distributions.
  • Support preparation of document control reports, dashboards, status summaries, overdue reports, and document registers.
  • Assist project teams in retrieving records and documentation required for internal and external audits.
  • Support project handover and closeout activities by ensuring required documentation is complete, correctly indexed, and properly archived.
  • Assist in compiling final project records, as-built documentation, handover packages, and closeout documentation.
  • Maintain confidentiality, security, and integrity of sensitive project and client information.
  • Support implementation and continuous improvement of project document control processes and procedures.
  • Provide guidance to project personnel regarding document numbering, workflows, revision control, and EDMS/CDE requirements.
  • Perform other document control responsibilities as assigned by the Document Control Lead or Project Management.
What Required Skills You'll Bring
  • Diploma or Bachelor's Degree in Business Administration, Information Management, Engineering, Records Management, or a related discipline is preferred.
  • Minimum 2+ years of relevant document control experience, preferably within engineering, construction, infrastructure, transportation, airport, or other major project environments.
  • Experience working with Electronic Document Management Systems (EDMS) and/or Common Data Environment (CDE) platforms.
  • Good understanding of document control principles, procedures, and project information management practices.

What Desired Skills You'll Bring
  • Experience working on major infrastructure, airport, transportation, buildings, or large-scale construction projects.
  • Previous experience within a PMC, Delivery Partner, engineering consultancy, contractor, or client-side project environment.
  • Hands-on experience with document management and collaboration platforms such as: Oracle Aconex, Asite, Procore, Microsoft SharePoint, Autodesk Construction, Cloud (ACC) / BIM 360 and Other comparable EDMS/CDE platforms
  • Familiarity with client and consultant document control procedures and approval workflows.
  • Experience controlling engineering drawings, technical submittals, RFIs, specifications, correspondence, reports, and construction records.
  • Familiarity with document control requirements associated with design, procurement, construction, testing and commissioning, and handover activities.
  • Experience supporting document audits, project closeout, as-built documentation, and final handover packages.
  • Familiarity with ISO 19650 information management principles is advantageous.
  • Experience preparing document control KPIs, dashboards, reports, and overdue-document trackers.
  • Ability to identify opportunities to improve document workflows, filing structures, and information traceability.
  • Strong teamwork and customer-service mindset when supporting multidisciplinary project teams.
  • Arabic language capability is an advantage for KSA-based assignments.
