The Document Control Specialist supports project teams by managing project documentation, maintaining document control systems, and ensuring records are accurate, organized, and compliant with company and client requirements. This role plays a key part in supporting project execution through effective document management and process coordination.

Responsibilities
  • Manage and maintain project documentation, ensuring accuracy, completeness, and compliance with company standards and project requirements.
  • Control the receipt, review, distribution, tracking, filing, and retention of project documents, including drawings, specifications, submittals, RFIs, contracts, change orders, quality records, and closeout documentation.
  • Maintain electronic and physical document control systems to ensure documents are properly organized, version-controlled, and readily accessible.
  • Coordinate document flow between project teams, clients, subcontractors, vendors, and corporate departments.
  • Review incoming and outgoing documentation for proper formatting, approvals, revision status, and compliance with established procedures.
  • Distribute controlled documents to appropriate stakeholders and ensure obsolete or superseded documents are archived in accordance with company policies.
  • Generate and maintain document registers, transmittals, logs, tracking reports, and status updates for project management and operations teams.
  • Support project start-up, execution, and closeout activities by organizing and maintaining required project documentation.
  • Assist project managers and field personnel with document retrieval, reporting, and administrative support related to project records.
  • Monitor project document deadlines and proactively follow up with internal and external stakeholders to ensure timely submission and review.
  • Support quality management processes by maintaining quality records, inspection documentation, certifications, and compliance-related files.
  • Coordinate with accounting, operations, procurement, safety, and human resources departments to maintain accurate project and operational records.
  • Prepare, edit, format, and distribute reports, correspondence, spreadsheets, presentations, and other project documentation as required.
  • Participate in audits and compliance reviews by providing documentation and ensuring records are complete and properly maintained.
  • Ensure confidentiality and security of company, employee, client, and project information.
  • Identify opportunities to improve document control processes, workflows, and system efficiencies.
  • Provide administrative support for project teams and perform other document management and operational support duties as assigned.
Qualifications
  • High School Diploma or equivalent required; Associate degree in Business Administration, Construction Management, Engineering Technology, or a related field preferred.
  • Minimum 2 years of document control, records management, administrative support, or project coordination experience preferred.
  • Experience supporting construction, engineering, industrial, geotechnical, environmental, or project-based organizations preferred.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Experience using document management systems, project management software, ERP platforms, or electronic filing systems preferred.
  • Strong understanding of document control principles, revision tracking, records retention, and version management.
  • Exceptional organizational skills with the ability to manage large volumes of documentation and multiple project priorities simultaneously.
  • Strong attention to detail and commitment to data accuracy and document integrity.
  • Excellent verbal and written communication skills with the ability to collaborate effectively across multiple departments.
  • Ability to maintain confidentiality and handle sensitive project, financial, and employee information with professionalism.
  • Experience with construction project documentation, submittals, RFIs, drawings, specifications, contracts, or closeout packages preferred.
  • Strong analytical and problem-solving skills with the ability to identify discrepancies and ensure data accuracy.
  • Ability to work independently while effectively supporting multiple project teams in a fast-paced environment.
  • Demonstrated proficiency in data entry, record management, and administrative reporting.
  • Reliable attendance, strong work ethic, and commitment to supporting project execution and operational excellence.

 Physical Requirements 

  • Ability to perform work in a standard office environment, including prolonged periods of sitting and working at a computer
  • Frequent use of hands and fingers for typing, data entry, and operating office equipment (e.g., keyboard, mouse, calculator)
  • Ability to view and read information on a computer screen for extended periods
  • Ability to communicate effectively in person, via phone, and through electronic means
  • Occasional standing, walking, bending, or reaching within the office environment
  • Ability to lift and carry office materials (e.g., files, documents, or equipment) up to 5–10 pounds on an occasional basis
  • Ability to maintain focus and accuracy while performing detailed, repetitive tasks
  • May require extended periods of concentration and attention to detail in a fast-paced environment
Additional Information

Salary Range: $25.00 - $35.00 per hour depending on experience


Actual salary will be based on a variety of factors including relevant internal and external experience, knowledge, skills, scope of job, geographical location or other factors permitted by law
